Job Description
The role
The Singapore International Mediation Institute (SIMI) is a non-profit organisation supported by the Ministry of Law, and a subsidiary of the National University of Singapore. It aims to establish, review and uphold high mediation standards, and ultimately support the professionalisation of mediation in Singapore and beyond. We do this through :
- Accreditation processes, and building a quality mark, recognised as an international benchmark of trust and transparency for mediators, mediation training and mediation service providers.
- Industry outreach in collaboration with other stakeholders on such standards for the mediation industry
- Supporting publications which promote thought leadership on technical and professional practice issues in mediation.
We wish to invite individual(s) to join us as a Executive (Finance & Administration) to help us further our mission. Applicants looking for part-time roles can be considered.
You would be a self-starting, process- and administration-oriented person with a recognised diploma and/or background in one or more of the following :
- Business Administration
- Finance
- Accounting
Scope of responsibilities
You will assist, and work closely with the SIMI team to undertake the following :
Finance administration/support
Working with SIMI Asst Registrars and SIMI’s Finance support function to :
- Track invoicing and accounts receivables from SIMI accredited mediators and Partners.
- Track and manage accounts payables
- Process any staff expenses and claims as necessary
- Providing inputs to improve invoicing and payment (in and out) and tracking processes.
- Develop documents/processes to support such invoicing and account and payment processes.
- Liaising with external stakeholders on payment (in and out) status, including developing/sending reminders for payments etc.
Communications & Event administration/support
Work with the SIMI communications staff to manage SIMI’s industry outreach efforts :
- Undertake event planning and management.
- Liaise with SIMI communications staff and content creators on developing publicity and outreach materials in a timely manner.
- Plan and execute publicity plans, and manage publicity materials, across various platforms (including social media publicity)..
- Develop and manage registration and payment processes in collaboration with other stakeholders where relevant.
- Procure and manage venue logistics and administration, including but not limited to securing adequate venue, assessing of space constraints, ensuring appropriate AV requirements, cost-effectiveness, etc.
Operations administration/support (including Procurement administration)
- Support and track staff training course participation and expenses
- Keeping track of, and procuring office assets and stationary
- Keeping track of, and updating finance records on IT assets.
- Undertaking mailing duties at the post office
Key requirements and skills
Diploma and/or background in business administration, finance administration or accounting, with at least 7 years of relevant work experience.
The ideal candidate would possess the following skill and attributes:
- Sound administrative skills: well-organized, goal- and detail-oriented.
- Proficiency with Microsoft Office Suite and Google platforms.
- Project management and process skills, particularly in working and improving various administrative processes procedures and automating/digitalising them.
- Able to juggle various workstreams and find new ways of achieving work goals efficiently.
- Able to interact and communicate with a wide variety of stakeholders.
