The Centre for International Law (CIL) is actively seeking a dedicated Executive to join its administrative team. Reporting to the Strategic and Operations Assistant Senior Manager, the ideal candidate will collaboratively engage with both external and internal stakeholders to enhance the team's effectiveness in delivering a comprehensive array of procurement activities that address CIL's evolving needs, while also assisting with grant administration.
Key responsibilities include
- Assisting in asset management, which encompasses the maintenance of Fixed Asset Inventory Records and the verification of fixed assets for audit purposes;
- Evaluating service needs and determining the appropriateness of CFS engagement compared to employment;
- Preparing scopes of work, quotations, and supporting documents for contract initiation, ensuring compliance with institutional procurement guidelines and legal requirements;
- Liaising with internal stakeholders (e.g., procurement, legal, finance) for the vetting and approval of contracts;
- Managing procurement and related systems (e.g., SESAMI, ARIBA);
- Monitoring contract deliverables to ensure service completion (e.g., CFS);
- Supporting internal and external audit exercises;
- Assisting staff with purchases to ensure adherence to University policies;
- Tracking contracts and managing renewals;
- Engaging with vendors during procurement processes;
- Assisting in the coordination and review of Memorandums of Understanding (MOUs) to ensure compliance with institutional policies;
- Facilitating smooth execution, documentation, and record-keeping of MOUs;
- Collaborating with the University's legal department as necessary to ensure agreements fulfill regulatory and institutional requirements;
- Consolidating supplier invoices, CTA/CPC invoices, and supporting documents for processing.
Qualifications
- Possess a recognized university degree;
- A minimum 3 years of relevant experience in procurement or finance;
- Strong interpersonal, communication and time management skills,
- Result oriented with a demonstrated commitment to teamwork;
- Proficient in SAP Ariba and Microsoft Offce
- Strong proficiency in written and spoken English for drafting tender specifications and faciliating effective communication with stakeholders and suppliers.
