Job Description
Key Responsibilities
Programme and project management
- Coordinate the planning and delivery of multiple HTA research programmes from initiation through reporting and dissemination.
- Maintain integrated workplans covering activities, milestones, dependencies, responsibilities, risks and deliverables across research workstreams and collaborating institutions.
- Track project progress, budgets, procurement, contracts, invoices, resource requirements and reporting deadlines, escalating issues promptly to the Principal Investigator.
- Schedule and support regular project meetings; prepare agendas and briefing materials; maintain action logs, decision logs and follow-up trackers; and ensure that agreed actions are closed.
- Coordinate preparation of progress reports, funder updates, governance papers, project summaries and other required documentation.
Research operations and governance
- Coordinate ethics, institutional review, data governance, contracts, collaborator agreements and other approvals, working with relevant NUS offices and research leads.
- Maintain organised, secure and version-controlled project records, including protocols, study plans, meeting records, recruitment materials, questionnaires, analysis-plan documents and deliverables.
- Support recruitment and onboarding of research staff, students, consultants and external collaborators, and coordinate access to required systems, materials and training.
- Monitor operational risks such as recruitment delays, approval timelines, data-collection issues, participant burden and collaborator dependencies, and support mitigation planning.
- Develop sufficient familiarity with the technical content of each workstream to identify coordination needs, clarify dependencies and communicate progress accurately without taking ownership of specialist scientific decisions.
Events and stakeholder engagement
- Organise and host seminars, webinars, workshops, expert consultations, policy roundtables, project meetings and other research or dissemination events.
- Coordinate stakeholder engagement with policymakers, payers, healthcare leaders, clinicians, academics, patients, carers, industry partners and international collaborators.
- Prepare invitations, programmes, speaker briefs, background papers, discussion guides, registration materials and run sheets; coordinate logistics, technology platforms and participant communications.
- Support event facilitation, capture key discussion points and decisions, and prepare concise meeting or event reports with follow-up actions.
- Maintain constructive working relationships with internal and external partners and serve as a reliable point of coordination for project communications.
Research communication and dissemination
- Coordinate the preparation of manuscripts, policy briefs, reports, presentations, evidence summaries, newsletters and other outputs with the relevant research leads.
- Support clear translation of project progress and technical findings for different audiences, including funders, collaborators, policymakers and public-facing stakeholders.
- Coordinate conference submissions, publication processes, dissemination activities and maintenance of project webpages or communication materials where required.
Qualifications
- Master’s degree in public health, clinical research, health services research, health policy, healthcare administration, social science, life sciences, business administration or a related field.
- Experience coordinating research projects in a public health, clinical research, health services research, university or healthcare setting is essential.
- Experience managing multiple stakeholders, timelines and deliverables, preferably across collaborative or multi-institutional projects.
- Experience organising seminars, webinars, workshops, roundtables or other professional events and coordinating stakeholder engagement.
- Familiarity with research governance, ethics submissions, data protection, participant-facing research activities or university research administration is desirable.
- Understanding of HTA, health economics, digital health, health policy or outcomes research is an advantage, but advanced technical expertise is not required.
Key competencies and attributes
- Highly organised, dependable and attentive to detail, with strong follow-through from planning to completion.
- Excellent written and verbal communication skills, with the ability to work respectfully with senior academics, research staff, students, policymakers, healthcare professionals, patients, carers and external partners.
- Able to understand enough of a technical research programme to coordinate its delivery, ask informed questions and identify issues early.
- Comfortable managing competing priorities, working independently and maintaining momentum across several projects.
- Proficient in Microsoft Office, online meeting platforms and project-tracking tools; familiarity with survey, research or document-management systems is an advantage.
- Willing to support occasional early morning, evening or off-site meetings and events, including webinars with international collaborators.
