Job Description

The candidate will be responsible for the administration and operations of the School’s education programmes, working closely with faculty, students and University stakeholders to ensure effective programme delivery.

 

Duties & Responsibilities

1. Admissions and Enrolment
• Manage the end-to-end admissions and enrolment process, including application setup and review, provision of secretariat support to the admissions and scholarships committees, issuance of admissions outcomes, and student onboarding.
• Develop and document admission processes, SOPs and supporting materials, and ensure their effective implementation.
• Maintain accurate admissions records and databases for operational management, reporting and analysis.

 

2. Curriculum and Course Administration
• Manage the end-to-end administration of courses, including coordination of timetabling, room bookings, canvas setup, course registration and related operational matters.
• Work closely with faculty and students to resolve academic and operational issues, and coordinate with relevant University offices where required.

 

3. Assessments, Marks and Graduation Processing
• Manage assessment administration, marks processing and verification, and ensure compliance with relevant University requirements and timelines.
• Monitor students’ academic standing, including those on academic warning or probation, and coordinate the necessary follow-up.
• Manage graduation eligibility checks and graduation filing, as well as the administration of medals, prizes and other academic awards, where applicable.

 

4. Student Administration and Support
• Manage day-to-day student administration throughout the student lifecycle, including student leave applications, candidature extensions, status letters and other student requests.
• Provide timely support and follow-up for students experiencing academic or personal difficulties and coordinate with faculty and relevant University offices where necessary.
• Maintain accurate student records and databases to support programme administration, monitoring and reporting.

 

5. Student Feedback and Quality Assurance
• Coordinate student feedback exercises, including ensuring accurate lecturer and course tagging and compiling data for management review.

• Ensure accurate recording of teaching hours and other relevant teaching data.
• Develop and administer graduation surveys to track student competencies, programme satisfaction and graduate outcomes, including employment status and employment outcomes after graduation.

 

6. Other Duties
• Plan and support student-related events and activities.
• Provide secretariat support for Education Office meetings.
• Undertake other duties as assigned by Vice Dean (Education).

Qualifications

- Hold a good basic degree from a recognised institution, with at least 2 years of relevant experience. Prior work experience in an educational institution will be advantageous.
- Proficient in Microsoft Office applications such as Word, Excel and PowerPoint.
- Pleasant disposition, meticulous, pro-active.
- Able to multi-task and manage simultaneous deadlines.
- Able to work independently as well as a good team player.
