Job Description

AI Singapore (AISG) is a national AI programme launched by the National Research Foundation (NRF) to anchor deep national capabilities in Artificial Intelligence (AI). 

 
The programme office is hosted by the National University of Singapore (NUS) and brings together all Singapore-based research institutions and the vibrant ecosystem of AI start-ups and companies developing AI products to perform use-inspired research, grow the knowledge, create the tools, and develop the talent to power Singapore's AI efforts.

 

We are looking for an experienced enthusiastic and meticulous individual to fill the position of an Executive to augment the manpower in our administrations team.

The incumbent will report to the Head, Talent Operations and will be a critical member in managing and supporting the functions for the efficient administration of our AI Internship Programme and AI Apprentice programmes.

 

Duties & Responsibilities

 

  • Recruitment for AI Internship Programme
  • Conduct orientation briefings
  • Management of stipend and other financial administration
  • Administrative support to AISG and student for the day to day running of the programmes (Assist with the preparation and coordinating the logistics of module registration and timetabling scheduling and internships)
  • Manage pre-assessment preparation and post-assessment processing which includes assessment scheduling, post assessment processing (marks checking and processing, checking of reports, result appeals, special consideration, awards and graduation matters).
  • Liaison between various academic faculty on internship requirements
  • Documentation of AISG AI Internship program sponsorship.
  • Disburse the monthly stipend to the eligible participants of the AI Internship Progamme and AI Apprenticeship programmes on a  monthly basis or at any period required by the administration of the prograrmmes;
  • Obtain and/or prepare the required documentation for submission to IMDA, other grantors and funding agencies at such frequency as may be required by IMDA, other grantor(s) and funding agencies. The required documentation includes:
    • Claim Form and
    • Auditor's Report on Claim Form
    • Any other report(s) required to process the claim.
  • Prepare and support request from IMDA, other grantor(s) and funding agencies within the stipulated number of working days from the date of request, with the documents and/or information pertaining to the participants, and/or the disbursement of the monthly stipend supported by IMDA, other grantor and funding agencies; and
  • Upon IMDA, other grantor(s) and funding agencies’ request, support accompanied access to our place of operation or premises in which any financial statements, books, documents, papers and all information in any form pertaining to the participants, and/or the disbursement of the monthly stipend, as may be required for the purposes of verifying the claims submitted.
  • Any Other duties as assigned by Head, Talent Operations, AI Innovations.

Qualifications

  • A Bachelor degree from a reputable institution, with at least 2 - 5 years of relevant working experience in managing academic programmes in tertiary institutions.
  • High level of written and oral communication skills.
  • Experienced, confident and effective working in cross-cultural settings.
  • Meticulous with an eye for detail and keen appreciation of good documentation.
  • Ability to manage multiple and competing tasks and deadlines well, and with a high degree of accuracy.
  • Team player with good combination of high intelligence, emotional and cultural quotient.
  • IT savvy, with good knowledge in Microsoft Office Applications
