About the Role
Reporting to the Head of Analytics & AI, you will support administrative coordination and stakeholder engagement, working closely with both internal and external parties to facilitate internship programmes and provide operational support for data-related initiatives aimed at enhancing student employability outcomes.
Duties & Responsibilities
- Handle day-to-day administrative matters, including documentation management, record keeping, processing requests, and responding to general queries related to internship and career initiatives.
- Facilitate communication and coordination with faculties, employers, students, and external partners to support the administration of internship and career programmes.
- Provide administrative support for procurement processes and contract documentation related to platforms and vendor services.
- Liaise with vendors and internal teams to coordinate the implementation and maintenance of career-related platforms and digital tools, ensuring smooth roll-out and follow-up.
- Support the review of vendor deliverables and system updates by documenting feedback and facilitating communication between stakeholders.
- Assist in gathering user requirements and consolidating feedback to support system enhancements and process improvements.
- Coordinate meetings, prepare briefing materials, record minutes where required, and track follow-up actions to ensure timely progress.
- Monitor project timelines and key milestones, ensuring proper documentation and follow-up on deliverables.
- Support data compilation, cleaning, and consolidation from multiple sources to ensure data accuracy and completeness for reporting and analysis purposes.
- Assist in preparing summary reports and dashboards to generate data-driven insights for internship and career-related initiatives, and support ad-hoc analyses to inform operational and programme decisions.
About You
- Graduates with strong numeracy and analytical skills.
- Up to three years of relevant experience in administrative support, programme coordination, stakeholder-facing roles, or analytics. Graduates with the no experience but some of the required skills are welcome to apply.
- Experience in project coordination, documentation management, or vendor liaison work, as well as knowledge of and hands-on experience with data analytics tools and AI/ML technologies, will be an advantage.
- Experience in data analytics and managing AI-related products is an added advantage.
- Proficiency in Python and machine learning frameworks such as PyTorch, Scikit-learn, and TensorFlow is considered a plus.
- Meticulous, well-organised, and able to thrive in a fast-paced environment.
- Strong attention to detail with a commitment to delivering high-quality work.
- Excellent communication skills, with a collaborative and service-oriented mindset.
