Job Description
The Office of Admissions (OAM) oversees full-time undergraduate admissions, scholarships and financial aid. Reporting to the Provost's Office, OAM develops and implements policies and operations related to undergraduate admission, award and administration of scholarships and financial aid, and markets the university's undergraduate degree programmes.
We are looking for a dedicated and detail-oriented professional to oversee the administration of university scholarships and financial aid. This role requires strong analytical and stakeholder management skills and a proactive approach to improving processes and systems.
Key Responsibilities
Scholarship Administration
• Oversee the scholarship renewal process, ensuring timely review and approval of scholarship extensions.
• Assess recipients’ academic performance and eligibility based on scholarship terms and conditions.
• Collaborate with Faculties/Schools, and donors to verify the scholars’ academic standing, performance, and compliance with scholarship agreements.
• Communicate renewal requirements, deadlines, and follow-up actions to scholarship recipients.
• Maintain accurate records of scholarship renewals and track student progress.
• Work closely with the Office of Finance and relevant departments to ensure seamless scholarship disbursement.
• Handle disciplinary cases related to scholarship recipients and assess withdrawal cases involving liquidated damages.
• Review and manage policies on concurrent scholarship holdings.
• Support the administration and enforcement of scholarship bond requirements.
Process & System Improvement
• Lead the development and implementation of an IT system to digitise and automate scholarship administration, improving efficiency and accuracy.
• Gather user requirements, work with IT teams or vendors, and support system testing and rollout.
• Continuously improve scholarship administration processes and explore ways to enhance automation.
Financial Aid Administration
• Oversee the administration of Financial Aid, including the approval of offers, allocation, and disbursement of funds to eligible students.
• Review and approve Opportunity Enhanced Grants (OEG) fund utilisation requests.
Policy, Governance, and Reporting
• Contribute to developing and updating scholarship and financial aid policies and guidelines, ensuring alignment with university objectives and regulatory requirements.
• Prepare budget projections, review grant reimbursement claims, and compile data to support strategic planning and decision-making.
Outreach
• Participate in outreach activities, such as open houses, webinars, and school visits.
Others
• Perform any other duties as assigned by the supervisor.
Qualifications
• A recognised Bachelor’s degree in any discipline
• Experience in scholarship and financial aid administration is preferred
• Strong analytical skills with the ability to interpret and evaluate data
• Pro-active, quality conscious and results-oriented
• Excellent communication and stakeholder management skills
• Meticulous, detail-oriented, and well-organized
• Proficient in MS Office applications, including Excel, Word, and PowerPoint
