Job Description
Duties & Responsibilities
• Build and maintain strong relationships with both internal and external hirers for events, conferences, roadshows, seminars, and training sessions, ensuring all requirements and expectations are met.
• Respond promptly to feedback and enquiries, handling service recovery to maintain high levels of satisfaction.
• Conduct site visits with potential hirers, providing detailed tours and addressing event-specific needs.
• Prepare and issue timely and accurate quotations, booking agreements, and related documentation for hirers.
• Achieve monthly revenue and utilisation targets through effective booking management and client engagement.
• Manage all procurement-related matters, including issuing purchase orders and processing contractor invoices in a timely manner.
• Oversee internal and external billing and collections, ensuring prompt and accurate transactions.
• Prepare comprehensive monthly reports on revenue, utilisation, and hirer profiles for management review.
• Oversee the implementation of health and safety protocols, including emergency preparedness plans, for each event.
• Coordinate with housekeeping and security teams to ensure the smooth execution of all events.
• Manage event timelines, ensuring efficient execution of setup, breakdown, and overall event flow.
• Conduct post-event evaluations to gather feedback, assess event outcomes, and identify areas for improvement.
• Collaborate with the maintenance office to uphold the proper upkeep and maintenance of all facilities.
• Liaise with the booking system vendor to address system changes, enhancements, or technical issues.
• Perform any other related duties as assigned.
Qualifications
Requirements
• Degree in related field.
• At least 3 years of proven experience in event management
• Excellent communication, partnership, collaboration, and project management skills.
• Strong time management and multitasking abilities, flexibility, and professional confidence.
• Ability to effectively handle multiple project requests in a fast-paced environment.
• Familiarity with CRM and management software including proficiency in MS Office applications.
