Job Description
This position is for the role of Section Head of Hostel Admission Services (HAS) Section, responsible for leading day-to-day operations of the Section. The role involves managing a team to deliver quality and efficient hostel admission services, overseeing processes and policies, and providing data-driven reports to support senior management decision-making. The Section Head will also work closely with NUS partners and external stakeholders to ensure that student housing needs are met effectively and strategically.
Duties & Responsibilities
- Administration
- Oversee the full spectrum of hostel admission operations, including processing applications during housing exercises.
- Review and refine housing schemes, guidelines, allocation matrix and processes to meet university commitments.
- Coordinate with NUS partners to ensure evolving needs are incorporated in the propriety hostel admission software system.
- Provide advisory inputs to NUS stakeholders and external agencies, including hostel rate reviews and application statistics.
- Coordinate with hostels's Residential Life office and other OSA units in support of University wide initiatives relevant to campus housing.
- Foster strong working relationship with NUS partners and relevant stakeholders on housing-related matters.
- Lead the section in implementing its annual workplan, aligning it with OSA's overall strategic objectives
- Deliver timely and accurate hostel application statistics and occupancy reports to Senior Management, NUS departments and government agencies.
2. Communications and Publicity

- Manage correspondences and communications with stakeholders, including students' housing appeals.
- Oversee periodic updates of content hosted on website, application portal, FAQs and publicity materials.
- Ensure all communication materials are accurate and communicated to stakeholders in a timely manner
- Conduct housing briefings to prospective students during Open House and webinars.
- Conduct After-Action Reviews (AARs) with key stakeholders after major housing excercises and maintain continuous dialogues for improvements in future excercises.
- Prepare the allocation quota annually to ensure fair and optimal allocations of rooms and hostels.
3. People & Team Management

- Lead, motivate, develop a team of staff through coaching, mentoring and career development.
- Coordinate and distribute tasks and roles effectively to leverage team strengths.
- Ensure staff are adequately trained in hostel admissions policies, procedures, and use of the specialised hostel application system.
4. Off-campus housing

- Collaborate with Housing Services to ensure quality alternative housing options for NUS students.
5. Finance & Procurement

- Plan and manage the section's annual budget effectively
- Ensure all procurement activities comply with University Procurement Policies.
6. Any other duties that may be assigned.
Qualifications
The candidate should meet the following criteria:
- University degree with at least 5 years of managerial experience in people managment and administration.
- Analytical, excellent process, communication and interpersonal skills.
- Excellent data management and advance Microsoft Excel skills.
- Strong work ethics and integrity.
- Strong leadership, organisation, problem solving and planning skills.
- Commitment to customer service and a continuous quality improvement focus.
- Demostrate ability as a leader and team player (adaptable, cooperation, 'can-do')
