Job Description
The Office of Admissions (OAM) oversees full-time undergraduate admissions, scholarships and financial aid. Reporting to the Provost's Office, OAM develops and implements policies and operations related to undergraduate admission, award and administration of scholarships and financial aid, and markets the university's undergraduate degree programmes.
We are looking for a dedicated and detail-oriented professional to support the administration of university scholarships and financial aid. This role requires strong analytical and stakeholder management skills and a proactive approach to improving processes and systems.
Key Responsibilities
Scholarship Recruitment
• Administer the scholarship recruitment application processes including Issuing scholarship offers, tracking acceptances, and monitoring matriculation to ensure scholarship quotas are met
• Plan, coordinate and facilitate scholarship selection interviews.
• Verify surety nomination and manage the signing of scholarship agreements.
• Administer ICA Student Pass and handle reimbursements for claims.
• Oversee the disbursement of scholarship funds to new scholars.
• Ensure the maintenance of accurate and up-to-date records.
• Conduct scholarship briefings and onboarding sessions for freshmen.
• Manage enquiries and appeals related to scholarship recruitment.
• Update and maintain the scholarship handbook, recruitment collaterals and website.
• Act as the main point of contact with internal and external stakeholders.
Scholarship Bond Monitoring
• Process bond fulfilment applications for graduated scholars, ensuring full compliance with bond agreements.
• Manage bond deferment cases
Other Responsibilities
• Analyse and enhance processes to improve operational efficiency
• Provide guidance and supervision to team members and other stakeholders
• Participate in outreach events and activities
• Undertake any other tasks or responsibilities as assigned by the supervisor
Qualifications
• A recognised Bachelor's degree in any discipline
• Experience in scholarship and grants management is preferred.
• Excellent analytical, organisational, and communication skills.
• Pro-active, quality conscious and results-oriented
• Ability to manage multiple tasks and be attentive to details
• Proficient in Microsoft Office particularly Excel and PowerPoint.
