The Health & Wellbeing (Office of the President) is responsible for the innovation, implementation and evaluation of health & wellbeing programmes and initiatives which support the general NUS population, as well as specific employees who are exposed to acute mentally stressful events. The NUS Care Unit (NCU) provides trauma-informed care to NUS staff and students who have experienced sexual misconduct, and advances campus wellbeing through prevention, response, and education. We are seeking an executive to support the NUS Care Unit’s front-desk, client service and administrative operations. The incumbent will serve as the first point of contact for clients reaching out through walk-in, telephone, email, confidential form and helpline channels. The role includes greeting walk-in clients, managing enquiries, arranging same-day consultations with on-duty Care Managers where required, and supporting the Unit’s case management system. 
 
Key Responsibilities  
Front-Desk and Client Services  
• Attend to walk-in clients, telephone calls, emails and enquiries in a professional, empathetic and confidential manner.  
• Schedule client appointments and arrange same-day consultations with on-duty Care Managers where required.  
• Provide accurate information on NUS Care Unit services, programmes and support channels.  
• Manage front-desk interactions and visitor flow with discretion to ensure client identities, privacy and confidentiality are protected.  
• Channel enquiries received through walk-in services, confidential forms, helpline and email to the appropriate Care Managers within the same day.  
 
Administrative and Operational Support  
• Support the smooth day-to-day administration and operations of the Unit.  
• Manage Unit communications, correspondence and stakeholder coordination in a timely and professional manner.  
• Provide administrative support to the team  
 
Finance, Programme and Unit Support  
• Assist with finance and administrative matters, including expense claims, payment records and invoice processing.  
• Support programmes and outreach efforts to raise awareness of sexual misconduct.  
• Assist with unit-level initiatives, reporting and operational needs.  
• Perform other duties as assigned.
 

Qualifications

Diploma or Bachelor’s degree in any discipline. Qualifications in Social Work, Counselling, Psychology or a related field would be advantageous.  
• Minimum 2 years of relevant experience in front-desk operations, client service, administration or service coordination.  
• Experience in an education, healthcare, social service, counselling support or confidential client-facing environment would be advantageous.  
• Strong interpersonal, empathy and communication skills, both written and verbal.  
• Confident in engaging students, staff, faculty and senior stakeholders.  
• Proficient in Microsoft Office, particularly Word and Excel.  
• Comfortable using administrative systems.
