Job Purpose :

The candidate will work on Community Engagement (CE) programming, with a primary focus on administering the National Youth Council (NYC) - Youth Expedition Project (YEP) grant, which offers seed funding for overseas community service programs. The scope will also support the execution of other CE events, such as orientation for incoming international students; a festival to learn, celebrate and appreciate diversity; a symposium focused on key topics relating to community engagement in Singapore.

 

Duties & Responsibilities :

  1. Undertake administration of the NYC YEP grant throughout the entire grant and application cycle, which includes and is not limited to the following;
  • Reviewing and verifying team eligibility and application requirements (including submitted budgets and expense eligibility; completion of necessary training/courses by team members; alignment with internal policies and guidelines) by working closely with students and colleagues;
  • Undertaking requests and/or related paperwork via administrative systems or portals to facilitate timely grant award and disbursement e.g. requests for approvals, account creations on designated portals/systems;
  • Managing data, including data collection/collation, updates, and extraction, as part of database management and for reporting purposes;
  • Ensuring that requested data is fully received at project completion stage, and that all reporting/projects requirements are adhered to;
  • Reviewing and checking financial documentation, finalized project spends and plans; approving subsequent disbursements (including undertaking any needed administration);
  • Support projects showcase through overseeing venue booking, event registration, arranging refreshments, Safety Management Planning etc;
  • Liaising with other stakeholders (e.g. students, external partners) regarding clarifications or follow-ups as needed.

2.  Support execution of other Community Engagement events such as coordinating logistical arrangements, overseeing data collection and collation of findings, facilitating program segments for student attendees (e.g. welcoming students on-site, participation tracking) together with OSA colleagues.

3. Other duties/tasks as assigned.

Qualifications

  • Bachelor's degree in any field.
  • Excellent communication skills, both verbal and written, along with strong interpersonal abilities.
  • Self-motivated and responsible individual who is mature, independent, and adaptive, with the ability to work independently and as part of the team.
  • Meticulous and detailed oriented.
  • Able to work under pressure in a fast-paced environment with multiple timelines and stakeholders.
  • Proficient in Microsoft Office Suite, survey tools (e.g. Qualtrics), and online communication tools.
