Administrative Assistant, Mind Science Centre (2-years contract)

Job Description

The Yeo Boon Khim Mind Science Centre (MSC) was founded in 2016 by a passionate and determined group of philanthropists and medical experts who volunteer their time and expertise to build preventive strategies to tackle mental health-care risk factors and early detection to serve the critical needs of the local community.

Reporting to the Assistant Director, you shall support and assist in the administration of the Centre. This includes managing MSC’s finances and finance-related matters, procurement, events and publicity, administrative and HR functions to improve organisational and service excellence.

ADMINISTRATION

1. Provide Secretariat support to the team, Committees and Boards, including local and international academic boards.

2. Assist in events coordination, webinar registration and volunteer training.

3. Co-ordinate procurement matters with requesters and ensure compliance with procurement policy.

4. Assist in HR matters.

FINANCE AND ACCOUNTING

1. Assist in MSC’s finances and finance-related matters such as fund management, preparation and analysis of financial statements for audit and reporting to ensure compliance to guidelines.

OPERATIONS

1. Assist in the operations of MSC.

Qualifications

1. Higher NITEC or Diploma holder

2. Candidates with no experience are welcome to apply

3. Able to communicate well (spoken and written) across all levels

4. Meticulous, proactive and resourceful

5. Tact and discretion in handling confidential information

6. Able to work independently and a good team player

7. Possess maturity and interpersonal skills

8. Good proficiency in Microsoft Office Applications

9. Availability to work occasionally on weekends to provide support for centre events and workshops.
