The National University of Singapore invites applications for an Assistant Manager (MSc Programmes) position in the Department of Physiology, NUS Yong Loo Lin School of Medicine. The Department of Physiology has recently established a new MSc in Human Potential and Performance and the Cardiovascular-Metabolic Disease Translational Research Programmeis in the process of proposing a new MSc in Cardiovascular Sciences.

 

The candidate will report to the Programme Directors and support the MSc programmes management function.

 

The Job Description for the role specifically to the Assistant Manager (MSc Programme) is to work closely with faculty members to support the overall operations of the MSc programmes.

 

Roles and Responsibilities

 

  1. Faculty Matters
  • Prepare the Letter of Engagement letters and process teaching payments for the instructors for each semester. Procure or acquire materials needed for education, and contract with vendors and instructors as needed.
  • Provide support to faculty members, with resources from NUS offices and IT systems including Canvas (teaching platform), Integrated Marks Management System (IMMS), student and classroom management (CAS) matters.

 

  1. Overall Programme Management
  • Ensure that the programmes run smoothly and effectively, keeping the needs of students in mind while maintaining the integrity of the programmes and at the same time, aligning with the SOPs set for the rest of the MSc programmes.
  • Deliver service excellence in assisting students in the programmes including course-related matters, all aspects of experiential learning components, ad-hoc academic counselling and student wellness matters.
  • Keep data on student demands and feedback on courses to advise the Academic Directors (ADs) and MSc office for constant monitoring and review of programme offerings.

 

  1. Class Timetable Scheduling and Course Registration
  • Coordinate, de-conflict and manage all course outlines and timetable matters related to the programmes, so as to ensure standardization and that the timelines are properly adhered to.
  • Communicate to the students on matters related to their coursework in a timely manner, including preparation of user guides and conducting briefings to the students and course registration matters.
  • Prepare the important and necessary information to the instructors on class enrollment, student profile, teaching and assessment guidelines before the start of each semester.

 

  1. Student Record Management
  • Monitor and track students’ workload and progress, and respond promptly on all student matters including Leave of Absense applications and Academic counselling matters.
  • Coordinate the mid-term student feedback sessions. Consolidate the information gathered and monitor follow-up actions.

 

  1. Exam Processing
  • Track and monitor timely upload of marks by faculty members, ensuring zero discrepancy.
  • Compile marks and the Board of Examiners’ reports, and process students’ requests e.g. Special Consideration and appels for results review.

 

  1. Student Feedback
  • Prepare data for the Student Feedback System
  • Compile the feedback reports for the MSc office and AD, and monitor follow-ups, if any.

 

  1. Event Management and Liaison
  • Work closely with other units within the MSc office on office projects and events.
  • Any other duties as assigned by the MSc Programme Directors.

 

  1. Secretariat
  •  To provide secretariat support to Head of Department.

Qualifications

  • Bachelor’s degree 
  • At least 5 years of relevant working experience in developing and coordinating/ managing academic programmes within tertiary institutions
  • High level of written and oral communication skills
  • Experienced, confident, and effective working in cross-cultural settings
  • Meticulous with an eye for detail and keen appreciation of good documentation
  • Able to manage multiple and competing tasks/deadlines well, and with a high degree of accuracy
  • Team player with good combination of high intelligence, emotional and cultural quotient
  • IT savvy, with good knowledge in Microsoft Office applications and learning management system.
