Job Description

Assist senior staff in providing administrative support in research studies and clinical trials undertaken by Memory Aging and Cognition Centre (MACC), an established clinical and translational research centre based at NUHS and funded by the NMRC. He / She will also work with department to assist the Department Education Team with the administration of the new Masters programme.

Duties and Responsibilities

A. Grant administration and finance related matters:

1. Assist in administering and managing grant accounts

a. Perform general financial accounting operations on research accounts.

b. Ensure all expenses are in line with the grantor and institution policy.

            d. Submit cash flow projection, quarterly claims and annual reports on time.

e. Prepare progress reports and grant variation requests when required.

2. Assist Principal Investigator in grant application from budgeting to collating documents for submission.

3. Assist NUHS Research Office to answer any grant related query from the funding agencies.

Duties and Responsibilities

B. HR related matters:

1. Assist in the recruitment of new staff, from advertising the post, becoming the contact point, arranging the interview, fund checks, securing workspace and access required for new staff to perform his/her duties.

2. Managing staff's contract period and renewal.

3. Arrange training for staff, which is required by the institution in order to perform their duties, e.g. BCLS, GCP, etc.

Duties and Responsibilities

C. General administrative support for MACC operation:

1. Handle research space planning and management including workstations, wet lab benches, assessment and meeting rooms.

2. Being the initial point of contact for any issue raised by the research team.

3. Ensure the office/research supplies are sufficient to support the ongoing research.

4. Handle procurement system and ensure that the procurement is in line with the guidelines, including but not limited to obtaining quotation, raising PO, follow up with the vendors, and submitting invoice for payment.

5. Maintain MACC assets and assist in asset verification exercise.

Duties and Responsibilities

D. IT related matters:

1. Handle IT paperwork required to get certain access to NUS/NUH system, e.g. request to setup a new laptop, complete the IT form to get access for systems, etc.

 

E. Department Education Team with the administration of the new MSc programme.

1. Assist in the preparation and submission of necessary documentation to launch the programme.

2. Coordinate with faculty to develop schedules, course outlines, syllabi, examination matters and to handle logistics related to the programme.

3. Manage inquiries about the programme and provide necessary details to potential/incoming students.

4. Assist in designing and disseminating promotional materials for the MSc programme.

5. Assist in financial planning, tracking and processing programme-related expenses and revenues.

6. Handle miscellaneous administrative tasks as assigned by the programme director.

Qualifications

- A Bachelor degree.

- Proficient in MS Office applications (Word, Excel, Powerpoint). Knowledge of grant administration and grant finance is an added advantage.

- Meticulous, possess excellent organizational and coordination skills.

- Good interpersonal and communication skills

- Ability to multi-task and work independently in a fast-paced environment.
