The Role

This position will oversee the end-to-end administrative duties pertaining to the graduate research programmes and non-graduating research attachments offered by NUS Nursing (Alice Lee Centre for Nursing Studies). 
 

Job Description

 

Administration of admission intakes 

  • Manage admission enquiries 
  • Manage applicants’ submissions and supporting documents, verify eligibility for scholarship and follow up on outstanding documents.
  • Support Head and admissions committee to shortlist candidates. 
  • Schedule admission interviews for shortlisted applicants. 
  • Update checklist of successful and unsuccessful applicants in the Graduate Admission System (GDA2) and inform applicants on the status of application. 
  • Issue offer letters to successful applicants and follow up on registration matters.
  • Liaise with NUS Graduate School and international students on solar upload and student pass applications.
  • Support and manage applicants under NUS-SINGA Award and CSC-funded Tuition Fee Allowance Scheme.
  • Prepare report on admission statistics to Registrar's Office.
  • Organise orientation and briefings for newly admitted MSc (Nursing) and PhD students.


Planning, managing, implementing and operationalising the Management of MSc (Nursing) and PhD programmes

  • Manage curriculum review matters and changes to course contents. 
  • Ensure timely preparation of class time tables, teaching schedules and student handbook for each semester.
  • Oversee students’ applications for waiver and reduction in tuition fees, requests for leave of absence, extension of candidature, funding support for conferences and overseas attachments etc.
  • Oversee students’ submission of thesis and notify them on outcome of their examination as well as follow-up action. 
  • Oversee the creation of feedback events on Blue (feedback portal). 
  • Ensure that tutors and students are tagged accurately for feedback collection. Generate feedback reports for management’s review.
  • Liaise with other faculties on the release of examination marks. 
  • Ensure zero errors in all assessment matters.
  • Verify and file list of ALCNS students for conferment of degree.
  • Ensure that information of the 2 programmes are accurate and updated on department website.
  • Coordinate with NUS counterparts who organise the NUS PhD Virtual Open House. 
  • Manage the ALCNS’ virtual booth by showcasing students’ achievements and inviting ALCNS faculty to participate in live chats.
  • Provide data and prepare annual reports pertaining to these 2 programmes for senior management.
  • Oversee the appointments of external lecturers and processing their payments.
  • Manage the budget and oversee procurement and financial matters for the 2 programmes.


Planning, managing, implementing and operationalising of non-graduating (NG) research attachments

  • Oversee the collation of required documents for application and issuance of letter of invitation to successful applicants. 
  • Support Head and Research Director to review candidates and identifying possible supervisors by preparing summary reports of applicants.
  • Schedule e-meetings between student and selected faculty to determine if student is suitable for the research attachment.
  • Oversee the processing of students’ NG application via Online Application Portal (OAP), requests for changes to the period of research attachment etc.
     

Qualifications

  • At least 8 years of working experience (3 years in supervisory role) in leading a team to manage administrative and operations matters pertaining to implementing graduate programmes in a University setting.
  • Exceptional collaborative team player with a high degree of professionalism
  • Excellent communication (written and oral) and organisational skills, and possesses creativity in solving problems.
  • Possesses a high degree of professionalism and adaptability to adjust to a fast-paced environment.
  • Demonstrate leadership skills in managing small teams with strong sense of initiative.
  • Proficient in Microsoft Office Application (Word, Excel and PowerPoint).
