Job Description
The National University of Singapore invites applications for a Senior Executive in the Department of Paediatrics, Yong Loo Lin School of Medicine. Professor Wong Hock Boon, fondly known as the Father of Paediatrics in Singapore, founded the Department of Paediatrics in 1962. This department is known for its continuous successions of distinguished teachers who have given Singapore a solid foundation in paediatric medicine during the early years of nation building. Apart from providing medical education in paediatrics, the department is deeply committed to scientific research and has key research areas in oncology, genetics, immunology, metabolic diseases, cardiac health, and neurocognitive development. Appointments will be made under a 1-year contract of service in the first instance, and may be extended subsequently.
Purpose of the post
The job incumbent will be part of the NUS Brain Health team under the Department of Paediatrics. This team consists of experienced clinicians and researchers who study children’s brain development and self-regulation skills. The successful candidate will collaborate with both external and internal stakeholders to ensure successful translation of research findings into clinical practice, policy, and the public.
Main duties and responsibilities
Programme development (45%)
- Manage the administration and timeline of various projects to ensure smooth operations of the Brain Health team
- Maintain an organised database of the group’s documents and data files, ensure records are accurate and detailed
- Curate and prepare data for analyses
- Collate findings and summarise in reports or presentations, with support from PI
- Coordinate and assist in HR appointments/administrative matters of academic staff and visitors
- Provide administrative support for research seminars, meeting, and other events and ad-hoc administrative matters of the research team
Finance-related Admin (35%)
- Account projection and budgeting of grants and salaries of staff, WBS elements, operational costs, procurement, reimbursements, communication with finance staff of the institution and vendors; assist in grant applications and progress reports in terms of finance amounts
- Keep proper inventory and records of project assets (including funds, equipment, operational costs, submission of claims), assist in managing vendors, and plan budgets with the PI
- Maintain a guide to help users on procurement related to the lab, financial procedures, and the use of various finance systems within NUS
Other Support Duties (20%)
- Manage PI's calendars between the university, hospital, and research institute with clinic and department education staff
- Process PI’s claims and travels
- Update team website and PI’s curriculum vitae at regular intervals
Qualifications
- Degree holder (preferably in the Life Sciences fields) with prior work experiences in healthcare
- Proficient in Microsoft Office Excel, Powerpoint, and Word
- Has training in statistical programming
- Competent in verbal and written communication skills
- Works well in a team
