Job Description
The Department of Diagnostic Radiology at NUS Medicine is seeking a proactive, highly organized Administrative Executive to strengthen our education and research operations. You will coordinate teaching activities for undergraduates and residents, support research administration, and ensure smooth day-to-day operations so our faculty can focus on delivering high-impact education and advancing research.

What you will do

Research administration
- Assist with preparation and submission of research proposals, IRB/ethics applications, and grant documentation.
- Track project timelines, milestones, deliverables, reporting requirements, and publications.
- Maintain organized, up-to-date project records and ensure reporting deadlines are met.

Teaching and academic coordination
- Coordinate teaching schedules, timetables, and clinical teaching rosters for residents and medical students.
- Prepare and distribute teaching materials, assessments, and feedback forms ahead of sessions.
- Liaise with faculty, residents, and students to resolve scheduling and logistics promptly.

Meetings, events, and stakeholder coordination
- Organize research meetings, journal clubs, workshops, and academic visits.
- Prepare agendas, minutes, and track follow-up actions.
- Manage logistics (venues, AV, materials, communications) for seamless execution.

Operational and administrative support
- Oversee day-to-day scheduling, correspondence, and document/file management.
- Maintain accurate electronic records across research, teaching, and departmental activities.
- Prepare and track academic travel and related claims in line with institutional requirements.
- Draft professional communications as needed.

Data, reporting, and presentations
- Compile reports and slide decks for departmental reviews, grant reporting, and planning.
- Ensure accuracy, completeness, and professional formatting of submissions.
Qualifications
- Bachelor’s degree.
- At least 2 years of administrative experience, preferably in an academic, healthcare, or research setting.
- Proven experience in academic programme coordination, teaching logistics, or research administration.
- Strong organization and multitasking skills with meticulous attention to detail.
- Excellent written and verbal communication; confident stakeholder engagement.
- Proactive, resourceful, and solutions-oriented; able to anticipate needs and follow through.
- Discretion in handling confidential information and data.
