Job Description

About the Role

In this role, you will be the driving force behind the seamless administration of our postgraduate medical examinations and programmes, managing every detail from initial planning through final delivery and results processing.

You will work at the intersection of academics and administration, coordinating with faculty, examiners, candidates, and internal support teams to ensure that all examination milestones are met on time and to the highest standard. Your organisational expertise and attention to detail will be critical in maintaining the integrity and quality of our certification programmes.

Key Responsibilities

Postgraduate Programme and Examination Administration : You will take ownership of assigned postgraduate examinations and programmes, overseeing the complete lifecycle from preparation to completion. This includes developing detailed project timelines, coordinating examiner and faculty availability, arranging examination venues, managing candidate logistics, and organising standardised patients and IT resources. You'll prepare examination materials according to established procedures, provide on-site support during examinations (including some weekend and after-hours availability), and drive continuous improvements through post-examination reviews.

Committee Support and Stakeholder Communications : You will provide essential secretariat support to Examination and Course Committees, managing meeting logistics, documenting decisions, and maintaining follow-up on action items. You'll communicate professionally with diverse stakeholders—both internally across NUS departments and externally with partner institutions—while handling sensitive information with appropriate discretion.

Results Processing, Records Management and Quality Assurance : You will support the collation and verification of examination results, prepare Board of Examiners documentation, and maintain comprehensive examination records and databases. You'll also coordinate examination audit activities to ensure compliance with established procedures and contribute to the refinement of examination controls and SOPs.
