Job Description
The incumbent will be responsible for a portfolio of events whereby he/she will be responsible for:
i) Pre-event preparation:
- Manage all aspects of an event at the pre-planning stage and determining resource needs
- Prepare administrative notes for VIPs and GOH
- Ensure all vendors conduct the necessary risk assessments at the event venues
- Ensure work alignment with local Workplace Safety and Health regulations
ii) Participants Management:
- Coordinate with internal stakeholders on reaching out to participants
- Plan and execute pre-event marketing, manage communications to events participants (i.e. guests, exhibitors, delegates, sponsors, speakers, supporters) and suppliers
iii) Manpower Management:
- Coordinate and liaise with respective internal stakeholders
- Develop effective and collaborative relationships with internal and external stakeholders
iv) Event Programming
- Conceptualise and plan for any performance for the event
- Fundraising coordination, working with the internal fundraising team and donors
v) Event Conceptualisation
- Work with the designer to create the eDM, banner, and backdrop design based on the event theme
- Ensure eDM developed is good for publicity – email, website, social media
vi) Management & Organisation:
- Responsible for the designing, planning and execution of events
- Develop a risk management plan
vii) Speakers Management (Conference)
- Assist in forming the scientific committee
- Ensuring the overall professional level of hospitality
viii) Sponsorship Management (Conference)
- Identify potential donors and establish an outreach effort to raise funds
- Work with communications office on publicity for donors
ix) Foreign Affairs Management (Conference)
- Check and coordinate with MFA regarding foreign delegates
- Work with MFA on the clearance of foreign delegates at the airport
- Establish a security plan, and work with MFA and SPF if required
x) Ministries Management (Conference)
- Form the organization committee with representatives from the ministry
- Identify and work with the overall OIC and the contact person from the ministries
- Establish the scope of work and responsibilities with the relevant ministry
Qualifications
- Bachelor's degree, preferably in Hospitality Management, Marketing, Business, or Communications
- 2-3 years’ experience planning and executing events of varying sizes
- Ability to manage external vendor resources and relationships
- Demonstrated project management skills
- Excellent written and oral communication skills
- Ability to multi-task and adapt to changing priorities and duties
- Strong Microsoft Office skills
