Job Description
1. ORGANISATIONAL STATEGY
• Plan, implement and subsequently improve operational & administrative processes to drive efficiency and smooth end to end processes
• Manage and maintain the Centre’s operational expenditure reports
• Assist in preparation of annual budget planning
• Ensure resources are optimized to support operations
2. CENTRE OPERATIONS
• Manage and administer required HR functions, which includes aligning with NUS HR policies for talent acquisition and onboarding
• Manage and administer required contractual and finance functions, including grant management, aligning with NUS policies, and coordinating with relevant internal and or external stakeholders
• Coordinate the development and execution of agreements for strategic partnership, including research collaborations and strategic partnership in consultation with relevant NUS departments
• Provide advice and guidance to Lead PIs and research teams on the interpretation and application of relevant institutional policies and practices
• Assist Lead PIs and research team with compliance and regulatory matters.
3. SECRETARIAT SUPPORT & COMMUNICATIONS
• Facilitate secretariat and associated administrative support to the Centre’s Steering Committee.
• Oversee maintenance of websites and publication updates to support publicity and promotional activities for the Centre.
• Support event organization and other publicity activities
4. Others
• Perform other related duties incidental to the work or as assigned by the leadership
Qualifications
• Bachelor's degree
• Demonstrated knowledge and at least 1 year of experience in research management and operations
• Excellent written and verbal communication, with the ability to write for a variety of audiences
• Resourceful and self-driven with high degree of professional integrity
• Creative and strong in strategic thinking and planning
• Proven ability to understand and deliver on a range of stakeholder requirements, including in an event-planning scenario
• Adaptable and able to multitask well with clear follow-through
• High levels of attention to detail and quality
• Demonstrated ability to work independently and thrive in a fast-paced environment
• Commitment to the ongoing development of a positive organizational culture
• Willingness to contribute to a learning environment
• Experience in secretarial support and conference/meeting organization would be advantageous
