The Role

 

Candidate will be part of a dynamic team in NUS Alice Lee School of Nursing Studies to provide administrative support for the undergraduate programmes. Collaborating with stakeholders such as Healthcare Institutes (HCIs), he/she will support the faculty members to plan and organize students’ clinical postings to ensure they have a transformative learning experience.


 

Job Description

 

  • Plan and coordinate the clinical placements for nursing undergraduate students via Online Clinical Management System (OCMS)
  • Plan and allocate the appropriate ratio of students to the Clinical facilitators
  • Create Clinical Instructors/Clinical Facilitators OCMS account before start of clinical placement and, provide assistance, if required
  • Ensure that students' roster and clinical placement details are ready in OCMS before they started training
  • Support the team in ensuring that the daily operations of the clinical placements are smooth
  • Provide administrative support to students and faculty regarding inquiries, issues, or changes related to clinical placements
  • Support Clinical Instructors, Clinical Facilitators, students and HCI administrators in resolving issues they may face with OCMS
  • Monitor and track Work Injury Claims for students who were injured or exposure during clinical placement. Ensure that such claims are processed and reimbursed to students in a timely manner
     
  • Support the team in ensuring that the end of clinical placements’ administrative matters are well coordinated
  • Collate students’ attendance and track that their assessments are completed in OCMS at the end of clinical placement
  • Ensure that students’ MCs are submitted and all replacement placements are planned for
  • Monitor student outliers’ progress and ensure that they are registered for the necessary modules/clinical placements required for graduation
  • Manage the exam processing after each clinical course
  • Support faculty in the marks entry process and arranging for audit at the end of every clinical course to ensure zero errors in marks computation
  • Administer students’ feedback survey for clinical courses
     
  • Support in managing the disbursements of Pre-Employment Clinical Training (PECT) Funding
  • Based on the clinical placements schedule, compute and project yearly PECT funding for the various HCIs
  • Coordinate with HCIs when processing and tracking PECT payments (Student Allowance, invoices)
  • Compile reports e.g. clinical placement schedules, students’ feedback for yearly reporting to MOH
     
  • Support with the planning and execution of student-related events such as Mask-Fitting, Tele-Simulation for students, exam invigilation, Commencement etc.
  • Perform secretariat duties for dept and education meetings
  • Support in tracking the loan status of VR sets to students

Qualifications

 

  • Degree holder with at least 3 years of working experience
  • Positive working attitude, proactive and eager to learn
  • Good organization and communication skills
  • Strong team player who is meticulous, resourceful and resilient
  • Working experience in HCI or educational environment would be an advantage
  • IT savvy and proficient in MS Office applications
  • Financial knowledge and budget management
  • Receptive to database system work such as Online Clinical Management Systems, Central Management Information Systems, EduRec, CourseReg, Integrated Marks Management Systems, etc.
