Senior Executive/Assistant Manager, Dean's Office (Education-Curriculum)

Job Description

Purpose:

Candidate will be part of a dynamic team in NUS Yong Loo Lin School of Medicine, to organize, plan and execute curricular programs/initiatives across all medical years of the undergraduate program. He/she will also provide administrative, secretarial and logistical support and guidance to the Education Committees and other stakeholders, to facilitate effective implementation of the curriculum.  


Responsibilities:

1. Phase IV Assessments
a.    Organise, plan and execute Phase IV theory and clinical examinations. 
b.    Budgets for Phase IV examinations.
c.    Engages stakeholders in recruitment of standardized patients, patients, examiners and convenors.
d.    Engages vendors for logistical requirements.
e.    Plan for and coordinate exam briefing
f.    Organize post-exam meetings to conclude examination results.
g.    Conduct feedback sessions between Education Directors and students to close learning loop
 after each examination.

2. Faculty Assessment Committee (FAC) Co-Secretariat
a.    Minute taking for monthly FAC meetings.
b.    Plans and organize FAC reviews for each year.
c.    Plans and organize Modified Angoff meetings for each year.
d.    Tracks release of results for continual assessments

3. Collaborative Learning Cases (CLCs)

a.    Ensure documents required (Case guides and MCQs) are approved by the CLC Committee and comments are properly communicated to various System Block members and tutors involved. Documents required to be ready for the teaching faculty and preparation of session.
b.    Conduct CLC Committee monthly meeting and doing up of meeting minutes. Agenda to be sought from the Co-Chairperson. Meeting minutes to be sent to the CLC Committee Co-chairperson for vetting and disseminated to the Committee promptly.
c.    Conducting Annual Faculty Development workshop and Case Writer’s Workshop with Centre for Medical Education (CenMED).
d.    Represent Curriculum at CLC Committee meeting to share feasibilities and limitations.


4. General Elective Modules
a.    Advise students on enquiries relating to reading cross faculty modules for enrichment purpose. 
b.    Work with the relevant other NUS faculties to process the applications and module enrolment.   
c.    Communicate with students on the application outcome. 

5. Qualifying Examination (QE) Candidates
a.    Collaborates with Singapore Medical Council (SMC) to organize qualifying examinations for the list of QE candidates who applied.
b.    Host candidates on examination day
c.    Provides Pass/Fail list back to SMC after the examinations have been concluded. 
 

 

Qualifications

  • Bachelor’s Degree
  • Candidate should ideally have at least 1 year of work experience
  • Knowledge of medical sciences or working experience in the health or events industry would be advantageous
  • Highly self-motivated individual who is independent and adaptive
  • Meticulous and detail-oriented
  • Able to work under pressure, in a fast-paced environment with multiple timelines and stakeholders 
  • Excellent project and time management skills
  • Tact and discretion in handling sensitive information
  • Strong interpersonal & communication skills (in both verbal and writing) 
  • IT savvy and proficient in MS Office applications
