Job Description

The National University of Singapore invites applications for a Senior Executive (MSc Programme) position in the Centre of Infectious Disease Emergency Response (CIDER), NUS Yong Loo Lin School of Medicine.

CIDER was established under NUS Yong Loo Lin School of Medicine to support Singapore authorities and partners nationally, regionally and globally to strengthen their capabilities to prevent, detect and effectively respond to infectious disease emergencies.

We are seeking a self-motivated and enthusiastic applicant to provide proactive and comprehensive administrative support to the students of our programmes. The position may be at the senior executive or assistant manager level, depending on the candidate's experience and qualifications.

 

Roles and Responsibilities

The candidate is expected to deliver timely, accurate, courteous, and consistent information and assistance across various activities including:

 

  1. University and Programme Admissions
  • Set up and manage admissions and timetabling in various university systems
  • Process student application and enrolment matters
  • Assist student fees and scholarship administration
  • Manage operational and administrative needs of course coordinators (including venue booking, timetabling, procuring and preparing necessary equipment for classes)

 

  1. Enquiry Management and Communication
  • Handle departmental enquiries related to the MSc IDE programme through various channels
  • Maintain and update student information in the University portal
  • Data Management and Reporting (Assessment and academic record maintenance)
  • Maintain information and generate reports from the student record system and other administrative systems
  • Create, maintain, and audit student files through the University’s electronic document management systems

 

  1. Process Management
  • Process student movements (e.g., attendance, leave of absence, withdrawals)
  • Conduct results collation for student examinations
  • Perform course management activities (e.g., special permission requests, timetabling changes)

 

  1. Event Support and Promotion
  • Assist with academic events, including enrolment, student orientation, examinations, graduation and faculty meetings
  • Assist with marketing and promotional activities for the MSc IDE programme, including creating promotional materials and coordinating outreach initiatives
  • Assist with graduation processes and graduation-related services

 

  1. Continuous Improvement
  • Contribute to the development and updating of student and staff information
  • Identify opportunities for more effective working practices within the Academic Services Team
  • Actively contribute to developing, reviewing, and improving work processes, procedures, and policies

Qualifications

  • Bachelor’s degree
  • 1 or more years of experience in higher education administration or a similar role (candidates with no experience are welcome to apply)
  • Strong organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • Proficiency in IT systems and database management
  • Detail-oriented with a high level of accuracy
  • Ability to work independently and as part of a team
  • Knowledge of university regulations, policies, and guidelines (preferred)
