The incumbent will serve as a member of the Cardiovascular-Metabolic Disease Translational Research Programme under the leadership of Professor Roger Foo who is the Principal Investigator. 

 

Job Summary:
The Assistant Manager provides comprehensive project and administrative support to the department, ensuring the smooth coordination and execution of programs and initiatives. This role involves facilitating communications, organizing resources, and supporting teams in achieving program goals in compliance with institutional guidelines.

 

Key Responsibilities:

  • Project Coordination & Support:
    • Oversee the day-to-day operational aspects of departmental programs and projects.
    • Track project milestones and progress, ensuring deadlines and objectives are met.
    • Prepare and review reports, and coordinate with various departments to ensure smooth project execution and closeout.
  • Administrative Support:
    • Maintain accurate records of program documents and administrative files.
    • Organize meetings, prepare documentation, and support program administration activities.
    • Coordinate logistics for events, workshops, and departmental initiatives.
  • Compliance & Reporting:
    • Ensure adherence to institutional and regulatory policies in all administrative processes.
    • Assist in the preparation and submission of periodic progress reports and required documentation.
    • Support internal and external audits, ensuring records remain current and accurate.
  • Communication & Liaison:
    • Serve as a point of contact between project teams, administrative offices, and external stakeholders.
    • Facilitate communications to ensure information flow and address inquiries promptly.
  • Resource Coordination:
    • Support the allocation and tracking of resources for departmental activities.
    • Assist with basic budgeting and resource planning, as needed, for selected projects.
  • Problem-Solving Skills:
    • Troubleshoot administrative and operational issues, proposing effective solutions.
    • Adapt to changes in project scope, resources, or policy requirements.
  • Ethics and Integrity:
    • Handle sensitive information responsibly, maintaining confidentiality.
    • Demonstrate professionalism and honesty in all dealings.

Qualifications

  • Bachelor’s degree in business administration, public health, or a related field.
  • Experience in project or program administration, preferably in a clinical, academic, or corporate setting.
  • Prior experience in grant management a plus.
  • Familiarity with project management platforms and administrative systems.
  • Strong organizational, analytical, and communication skills.
  • Demonstrated attention to detail and ability to work independently.
  • Excellent teamwork skills and ability to collaborate effectively with diverse teams.
