Job Description
We are seeking to appoint a full-time Events Management professional to provide organisational, operational, and strategic support for the planning and execution of SSHSPH’s portfolio of institutional events. As the School continues to expand its footprint in public health education, research, and global engagement, this role will ensure the professional delivery of high-quality conferences, meetings, seminars, leadership programmes, and stakeholder-facing initiatives that advance SSHSPH’s reputation, partnerships, and mission.
The incumbent will play a critical role in translating event concepts into well-executed experiences, managing end-to-end logistics, coordinating internal and external stakeholders, and supporting post-event evaluation and continuous improvement.
Duties & Responsibilities
1. Event Planning and Execution
• Assist in the planning and execution of both virtual and in-person events, including conferences, seminars, and open houses.
• Support event feasibility planning, including identifying suitable venues, accommodation options, catering suppliers, and technical requirements.
• Assist with contract negotiation and coordination with venues and vendors to ensure cost-effectiveness and service quality.
2. Event Operations and Logistics Management
• Provide administrative and logistical support for events, including the development of event-specific tools such as critical paths, timelines, contact lists, and deliverables schedules.
• Manage on-site logistics, including venue setup, registration processes, attendee flow, and operational troubleshooting during events.
• Coordinate event manpower, including crew, volunteers, and service providers, to ensure smooth execution.
3. Event Marketing and Communications Support
• Support online and offline event marketing efforts, including event-related digital content.
• Liaise with designers, printers, and vendors to produce event collaterals such as brochures, handouts, signage, and presentation materials.
• Work closely with communications and marketing colleagues to ensure consistent branding and messaging across all event touchpoints.
4. Post-Event Reporting and Continuous Improvement
• Compile post-event debrief reports and evaluations, including operational insights, participant feedback, and recommendations for improvement.
• Support data collection and documentation to inform future event planning and institutional learning.
Qualifications
- A recognised Bachelor’s degree.
- Proven experience in events management, operations, or project coordination, preferably within higher education, public sector, or professional services environments.
- An experienced self-starter with a strong sense of ownership and a proactive, solutions-oriented mindset.
- Strong organisational, planning, and problem-solving skills, with the ability to manage multiple projects with competing timelines.
- Ability to work independently as well as collaboratively within a team in a target-driven environment.
- Strong interpersonal, communication, and negotiation skills, with the ability to engage effectively with senior leadership, external partners, and vendors.
- High level of flexibility, including the willingness to work extended hours or weekends when required to support major events.
