Job Purpose
The incumbent's primary role is to support and promote student life within the Faculty by initiating and organising student activities, as well as collaborating with and guiding student leaders in these efforts. Additionally, the incumbent is responsible for investigating complaints of student misconduct and advising the Vice Dean or Office of Student Conduct on appropriate disciplinary actions. The incumbent will also support other functions of the Student Affairs team, such as managing the student exchange programme, providing pastoral care, and assisting with financial aid and scholarship processes.
Duties and Responsibilities
- Manage, work with and provide support/advice to Student Clubs through vetting of proposals and budgets for student activities and ensure compliance with university’s guidelines on events planning and execution.
- Plan, organise and ensure smooth execution of student/student-led events such as Freshmen Inauguration Ceremony, Orientation, Study Trips, Farewell dinners etc. This includes managing VIP/guests invitations and attendance, logistical arrangements, catering, venue setup.
- Oversee the annual appointment of new Student Clubs’ Ex-Co members and recognition of past Ex-Co members.
- Develop initiatives and work with relevant faculty teams as well as students to support and promote engagement and welfare within the graduate students community.
- Tracking of student’s participation in external competitions and records of achievements as well as ensure accurate updating of data in appropriate platforms.
- Provide general student admin support in areas within the portfolio of Student Affairs – publicity of student activities, provision of student status/certification letters, process request for Long Term Visit Pass etc.
- Support Vice Dean/Asst Dean in areas of pastoral care and discipline of students.
- Propose and monitor budget and expenditure for Student Life.
- Liaise with various departments at faculty and university level as well as external bodies in relation to Student Affairs and Student Life Initiatives.
Qualifications
- A good Bachelor degree; preferably with 3-5 years of experience within a tertiary educational institution.
- Good planning and organisational skills.
- Excellent interpersonal communication (both written and verbal) and presentation skills.
- Generate creative ideas on improving student life
- Good knowledge of MS Office (Word, Excel, Powerpoint) and Social Media platforms.
