Job Description
You will be part of the NUS College administrative team working closely with the Vice Dean (Outreach) as well as team leads and team members to oversee, optimise and strengthen administrative processes throughout the Outreach pillar, and provide support in selected outreach efforts. The incumbent is expected to develop internal policies and procedures, establish and implement robust administrative systems, and ensure audit compliance for these systems, including systems related to undergraduate admissions processes. The incumbent will also oversee the management of our databases, particularly with the goal of analysing and tracking data to inform and refine strategies. The incumbent will also participate in front-facing outreach activities as needed.
Duties and Responsibilities
Admissions
• Oversee and establish proper file systems and workflows for the NUS College admissions process, focusing in particular on optimising existing workflows and allowing multiple team members to work together, as well as on audit compliance for the entire admissions process, including the end-to-end processing of applications from thousands of candidates and following through until accepted students matriculate
• Lead in internal and external audit reviews
• Oversee the processes required to support the Vice Dean on decisions for international students, especially at the final stages of the admissions cycle
• Serve as a counter-checker on all admissions and scholarships decisions
• Manage the database for admissions leads, ensuring the hygiene of the data
• Analyse the admissions data to inform strategies for recruitment and outreach and provide reports on this analysis
• Participate as needed in day-to-day admissions-related front-facing roles, such as communicating with the candidates and answering queries in the mailbox
• Participate as needed in outreach activities
Development
• Develop and manage gift fund management policies and procedures
• Lead in internal and external audit reviews
• Oversee the gift fund registry and ensure that all assigned gift cases are accurately updated in the central University database
• Assist Head of Development in gift fund utilisation conversations with internal stakeholders and track utilisation across the College throughout the year
• Partner with colleagues in fundraising and finance to develop multi-year revenue forecasts
• Develop key measurables on the impact of philanthropy in the College
• Oversee all aspects of gift processing at the College
• Lead in all data management matters including liaising with Development Office colleagues on dashboards (familiarity with Salesforce, Blackbaud or Power BI will be an added advantage)
• Provide reports as requested by the Head of Development
Alumni Relations
• Develop an internal system to track alumni engagement in all aspects of the running of the College and in student life
• Ensure that all actively engaged alumni are appreciated and acknowledged
• Lead in all data management matters with the Office of Alumni Relations colleagues on dashboards (familiarity with Salesforce, Blackbaud or Power BI will be an added advantage)
Others
• Provide strategic advice to the Vice Dean (Outreach) and develop streamlined administrative processes across the various teams (admissions, communications, development, alumni engagement)
• Serve as an executive assistant to the Vice Dean, assisting in the preparation of reports and slides as needed, in the scheduling and arrangement of appointments and meetings, the management of records, databases and filing systems
• Approve high-value purchases for the Outreach pillar
• Assist in procurement and provide advice on budget in the Outreach pillar, as needed
• Work with the other administrative teams in the NUS College Deanery on cross-functional and shared duties
Qualifications
• Bachelor’s degree
• Candidates with 10 years of working experience as an administrator or auditor will have an advantage
• Organised and meticulous with attention to detail
• Display tact and discretion in handling admissions information
• IT savvy and proficient in MS Office applications
• Proficiency in English language
• Has strong commitment to service delivery and able to multi-task and maintain calm under pressure in a fast-paced and dynamic environment
• Responsible and able to adhere to timelines
• A good team player with excellent communication skills
