Job Description
The incumbent will provide administrative support to the Undergraduate Studies Section, Dean's Office, Faculty of Science. Duties and responsibilities include, but are not limited to the following -
1) Faculty Co-ordinator for timetabling
- Keep abreast of Science Faculty Curriculum Committee (SFCC)/Board of Undergraduate Studies (BUS)/University Committee on Educational Policy (UCEP)/Senate approved proposals to facilitate planning and scheduling of classes and examinations.
- Coordinate with departments for planning of following academic year's timetable in the Class and Examination Timetabling System (CMIS).
- Update class and examinations timetable changes as and when required.
- Work with departments to verify accuracy of data and resolve any issues for the purpose of Student Feedback Exercise.
2) Pre-examination preparation and during examination support
- Plan and coordinate examination activities for each Academic Year according to the timelines and deadlines stipulated by Registrar's Office.
- Coordinate system updates for examinations related information and ensure data is appropriately entered.
- Act as liaison between Registrar's Office and departments to ensure that all necessary information are disseminated and shared with all parties involved.
- See to the examinations logistical requirements as well as arrangements for students with special needs.
3) Post-examination activities
- Coordinate and work closely with departments to complete the necessary checks and comply with the examinations processing schedule stipulated by Registrar's Office.
- Perform the duties of Faculty's Board of Examiners Secretariat and ensure that decisions made are updated accurately and quickly in Edurec and followed through.
- Plan, conduct and prepare report for examinations audit.
4) Undergraduate Studies Section duties
- To be rostered for section duties such as taking notes of regular section meetings, replying to email enquiries from students, and counter duties.
5) Others
- Provide assistance at University/Faculty level events such as Open House, Freshmen Orientation Briefing, and Commencement.
- Any other duties as assigned by the Vice Dean.
Qualifications/Requirements/Other Info
- Degree holder with positive learning attitude.
- Experience in timetabling and scheduling will be advantageous.
- Proficient in Microsoft applications.
- Ability to work under pressure and multi-task in a fast-paced environment with multiple timelines and demands.
- Ability to exercise tact and discretion in handling sensitive and confidential information.
- Possess effective oral and written communication skills.
- Mature, independent, adaptive and meticulous.
- A team player with the ability to interact well with all levels of stakeholders.
- Remuneration is based on a 12-month salary structure, with annual variable bonus which is subject to incumbent’s performance and the University/School’s prevailing remuneration policies.
- The incumbent will be emplaced at an appropriate appointment grade based on his/her individual merits.
