Job Description
I. Curriculum and Policies Implementation
• Assist the Deputy Head and Programme Directors in preparing proposals for graduate curriculum changes.
• Assist the implementation of graduate curricula, and new initiatives, which include but are not limited to coordinating the timetable, allocation of units to students to ensure optimal learning, and updating the relevant materials (e.g., website, handbooks).
II. Academic Programme Administration
• Provide administrative support to undergraduate and graduate students and faculty for the day-to-day running of the graduate programmes (preparing and coordinating the logistics of design examinations, exhibitions, overseas field trips / workshops, archival of students’ works, course notes, course registration and timetabling scheduling, outreach, student exchange programme, scholarship, financial aid and other academic administration).
• Involve in graduate admission exercise (verify applicants’ qualifications, coordinate admission interviews and admission outcome, and other related matters).
• Ensure timely and effective communication with stakeholders, e.g., faculty staff, students and external parties – e.g., design posters final review / exhibition layout, handbooks and communication (sending out emails and responding to enquiries from stakeholders).
• Administer pre-examination preparation and post-examination processing which includes logistics arrangements for design reviews, examination scheduling, marks checking and processing, checking of reports, examination result appeals, special consideration, academic awards and graduation matters.
• Help prepare and distribute course materials such as essential programme information to students and staff before and during the semesters.
• Assist faculty in preparing grading sheets, review decks, and other documentation needed for assessments.
• Coordinate ad-hoc workshops to help improve students’ technical and design skills, supporting faculty or external trainers as needed.
Qualifications
Job Requirements
• Bachelor’s degree in Architecture, Design, Communications, Arts, Social Sciences, or a related discipline.
• Minimum 3-5 years of administrative or academic programme support experience; prior exposure to higher education is an advantage.
• Prior working experience in studio-based academic environment and project planning would be beneficial.
• People-oriented, strong organisational skills, problem solver and can-do attitude.
• Good written and verbal communication skills with an eye for detail.
• Team player who can work independently and collaborate across different stakeholders.
