The Institute of Policy Studies (IPS) is a policy research think-tank in the Lee Kuan Yew School of Public Policy at the National University of Singapore.
IPS is looking to hire an Executive who will be supporting the Accounts Payable and general administrative functions of the Finance team.
The Executive will be the point of contact for all payables to external or internal suppliers or customers, and report to the Associate Director (Finance).
Duties & responsibilities
- Verification and processing of Non-Purchase Order vendor’s invoices.
- Timely processing for Request for Payment (RFP) for interviewers and part-timers.
- Perform vendors’ statement of accounts reconciliation and to investigate any discrepancies found.
- Process Cash advancements and settlements for projects.
- Timely follow-up on supermarket vouchers status with project teams.
- Check and ensure all vendors’ invoice posted in Ariba are correct.
- Ensure all expenses are posted on time in S4 HANA and raise reclassification journals for expenses wrongly posted.
- Creation of New Vendor Account in S4 HANA to facilitate payment.
- Attend to internal and external auditor’s requests, queries and follow-up actions etc.
- Assist in staff’s claims for Reverse Charge GST (RC GST) and Low-Value Goods (LVG) Tax.
- Fixed Assets Creation in S4 HANA.
- Any other duties assign as and when required.
Qualifications
- Minimum degree in Accountancy or equivalent with at least 2 years relevant working experience.
- Proficient in Microsoft Office (Excel and Word) and Adobe Acrobat with hands-on experience in S4 HANA, Ariba and CONCUR system will be an advantage.
- Effective communication & interpersonal skills and able to interact well with various departments.
- Good analytical skills, meticulous and good with details.
- Responsible and able to meet timeline.
- Possess positive attitude and able to work independently.
