Job Title:  Executive (NUS Libraries)

The role of Executive is to ensure seamless management and support of IT equipment and end-user devices for library staff and users, library operations and events. These include overseeing the lifecycle of IT and AV devices, providing technical assistance, maintaining accurate asset records, supporting library events, introducing innovative technologies by leveraging on AI and emerging IT tools, and working with IT specialist for backend systems support, in order to enrich learning and revitalize experiences as the leading global academic library.

 

Duties and Responsibilities

IT & AV Equipment, & Library Peripheral Support


•    Ensure timely renewal, upgrade, deployment and optimal management of IT devices and software (e.g. PCs, laptops, AV equipment, library peripheral, etc.) for end-users and library operations.
•    Provide technical support and troubleshooting for IT, AV, end-user equipment, and library peripheral.
•    Liaise with vendors and IT support teams for maintenance, repairs, replacement and troubleshooting.
•    Relocate, set up, and configure IT & AV equipment, and library peripheral for end-users and library operations.

 

Procurement, Asset Management & Security Compliance


•    Assist with purchasing, receiving, storage of new IT & AV equipment, and library peripheral.
•    Review and recommend suitable IT & AV equipment, and library peripheral for library use.
•    Maintain accurate inventory and service history records for all IT & AV equipment, and library peripheral, and software.
•    Oversee temporary loan and condemnation (disposal) processes for IT & AV equipment, and library peripheral with secure data erasure and proper documentation.

 

Library Operations & Event Support


•    Prepare library venues for training sessions and events.
•    Provide logistical support for library programmes.
•    Assist with building, facility, and equipment maintenance.

 

Backend Systems Support with IT Specialist


•    Assist to maintain and monitor backend systems, including Library Management Systems (LMS), digital repositories, and database servers.
•    Assist in planning and executing upgrades, migrations, and new system deployments.
•    Ensure integration and interoperability between library systems and university-wide IT infrastructure (authentication, APIs, cloud services).
•    Collaborate with library staff to understand requirements and optimize systems for user experience and operational efficiency.
•    Manage access controls, security configurations, and compliance with university IT policies and data protection regulations.
•    Document procedures, configurations, and troubleshooting steps for internal reference.
•    Liaise with software vendors, university IT, and external partners for technical support and enhancement projects.
•    Provide technical training and guidance to library staff as needed.

 

Training, Outreach & Innovation


•    Empower student associates by providing them with hands-on training in IT and AV, equipping them to effectively support innovative library programmes and initiatives.
•    Develop and deliver IT training programmes for library staff.
•    Foster knowledge sharing within the IT team and beyond.
•    Monitor and evaluate emerging technology trends, particularly AI tools that are relevant to library operations and services.

 

Reporting & Analysis


•    Collect, analyze, and interpret data on library services and IT usage.
•    Prepare reports and presentations with actionable insights and recommendations.

Requirements

Qualification


•    Diploma or Degree in IT, Computer Science, or related field.

 

Years of Experience

 

•    At least 2 years of relevant experience in IT support, inventory management, equipment lifecycle management, and event support.
 

Knowledge and Skills required

 

•    Experience in IT, AV and library peripheral support, inventory management, equipment lifecycle management and backend systems support.
•    Preferably with Windows PowerShell knowledge.
•    Interest in technology and AI trends and innovation in educational or library settings.
•    Adaptability to evolving technologies and requirements.
•    Strong troubleshooting, resourceful, independent and problem-solving skills.
•    Excellent communication and interpersonal abilities.
•    Strong teamwork, organizational and multitasking skills.
•    Ability to react and response in fast pace and ever evolving environment.
•    Attention to detail and commitment to quality service.
