Job Description
The Heat Resilience & Performance Centre (HRPC) is a first-of-its-kind research centre, established at the National University of Singapore (NUS), to spearhead and conduct research and development to address the challenges arising from climate change & extreme heat.
The Executive (Research Administration) will be part of the HRPC core team, with the incumbent playing a key role in supporting the operations and research activities of the Centre. He/ She will work closely with the management team of HRPC, principal investigators and researchers to ensure efficient execution of the Centre’s activities. The role requires good organizational, analytical and communication skills as well as a good grasp of administration processes.
Key responsibilities
Key responsibilities include:
Corporate and Administration Responsibility
- End-to-end management of the centre's procurement requirements. This includes researching potential suppliers, for products and service providers based on requirements or needs, preparing cost-benefit analysis to help managers and PIs make sourcing decisions, executing the necessary documentation required for the relevant procurement processes and managing the entire procurement and contracting processes
- Manage office assets including capitalisation, documentation, verification, replacement, retirement, and secure disposal
- Ensure smooth onboarding and offboarding including setup of workspace and systems access
- Coordinate account creation activities
- Provide comprehensive administrative support
Facility and Safety Support
- Assist in the establishment and execution of safe and secure work procedures to ensure the safety and security of the operation of the facilities
- Assist in identifying and developing emergency scenarios and response procedures
- Support in the conduct of activity-based risk assessment, hazard identification and review conformance to relevant safety requirements and guidelines
- Conduct safety and security briefings and associated trainings to users of the facility
- Monitor and facilitate the updating of certifications of the facility and its users as required by regulations
Research Support
- Support project implementation
- Support data extraction, management, and organisation efforts
- Coordinate calibration, preventive, and corrective maintenance on equipment and systems according to planned schedules
- Support the development and maintenance of SOPs, policies, and processes of the facility to enhance operations and maintenance
- Assume roles as personal data protection delegate, co-administrator for document sharing and archival system
- Any other duties and projects as and when assigned
Qualifications
Qualifications and requirements of the role are as follows:
- Recognised degree, with at least 2 years of relevant experience in a research/academic organization
- Proficient in MS Office applications
- Good IT literacy
- Experience with Wordpress and other website development platforms would be advantageous
- Good written and verbal communication
- Resourceful and self-driven with high degree of professional integrity
- Adaptable and able to multitask well with clear follow-through
- High levels of attention to detail and quality
- Demonstrated ability to work independently as well in a team, and thrive in a fast-paced environment
- Commitment to the ongoing development of a positive organizational culture
