Job Description

The job requires the support on the administrative function of the Executive Education department; to support the daily account receivables/payments processes and the procurement process.
This role will ensure data integrity (upkeep the various systems with the updated records/ statistics), compliance to any new policies/ policies changes implemented and assist in the pre-programme and post-programme preparation as required for Executive Education Programmes.
1. Accounts Payables
a. Verify and process all invoices (i.e., supplier, CTA, P-Card, Staff claims etc)
b. Process payments to Faculty/ Speakers for engagements
c. Prepare and process all monthly journals, entries, etc
d. Assist in new Vendor creations
e. Record and file transaction records
2. Accounts Receivables
a. Create and issue sales invoices, billing cancellations, credit note, ensure sales completeness checks performed
b. ICS receipts
c. Verify and raise reconciliation requests for online payment collections
d. Check and advise on account receivables aging report
e. Assist with Budget and Forecasts preparation as well as monitoring Departments’ utilisation
f. Record and file transaction records
3. Procurement
a. Raise and submit required procurement documents for various procurement methods
4. Pre-Programme and Post-Programme Preparations
a. To support Programme Managers as required in preparing/delivering the Executive Education Programmes
5. Data Management and Integrity
a. Timely data entry and uploads to ensure accuracy, completeness and integrity.
Qualifications
- Minimum university degree
- Good knowledge of MS Word and Excel
- Good command of spoken and written English
- Detail-oriented
- Excellent team player, motivated, takes initiatives and willing to work longer than office hours when needed.
