About Us

The Development Office (DVO) is the University-wide office responsible for driving philanthropic support for the University’s mission. Within the Development Office, the Gift Processing Team is part of the Operations Team, alongside Gift Finance and Corporate Services.

 

Reporting to the Head of Operations and working closely with the Team Lead, Gift Processing, this role is responsible for the timely and accurate processing of gifts received by NUS, while also supporting operational activities and improvement projects. This opportunity is well suited for someone who is keen to work in a university environment, enjoys administrative and process-driven work, and takes pride in ensuring accuracy, efficiency, and strong stakeholder support. The role also offers the opportunity to contribute ideas for process improvement and operational effectiveness.

 

About the Role

As part of the Gift Processing Team, you will support the processing and administration of gifts received by the University, ensuring that records and documentation are managed accurately and in accordance with established standards.

 

Your responsibilities will include:

  • Recording and updating gifts received through various platforms and payment methods in a timely and accurate manner, in accordance with prescribed standards.
  • Liaising with NUS faculties and offices on the coordination and reconciliation of gift processing documentation.
  • Managing the electronic filing of gift processing documents in a well-organised manner, while maintaining the integrity of digital records and relevant hardcopy documents.
  • Following up with internal and external stakeholders on gift processing matters.
  • Assisting in follow-up with the Office of Finance on fund posting matters.
  • Conducting training for internal stakeholders on gift processing procedures.
  • Generating timely and accurate monthly gift reports.
  • Responding to queries and providing clarification on gift processing procedures.
  • Reviewing existing workflows and recommending process improvements where appropriate.
  • Supporting other operational duties and projects as assigned.

 

About You

We are looking for someone who is meticulous, organised, and proactive, with a strong sense of responsibility and the ability to work effectively with a range of stakeholders.

 

You should have:

  • A recognised Diploma or Degree.
  • Relevant experience in trusts, foundations, societies, or similar organisations would be an advantage, particularly in administrative or numerically oriented roles.
  • Proficiency in Microsoft Office applications, especially Microsoft Excel.
  • Strong attention to detail and the maturity to engage professionally with multiple stakeholders.
  • Good interpersonal skills and the ability to work effectively in a team environment.
  • A positive work attitude and the ability to manage multiple tasks effectively.
  • Strong written and verbal communication skills, including the ability to explain processes or concepts clearly and simply.
  • Adaptability and flexibility in responding to changes in processes, structures, and organisational needs.

On-the-job training will be provided to equip you with the domain-specific knowledge required for gift processing.
