Job Description

The incumbent is responsible for supporting the Corporate Administration and Risk Department in terms of providing comprehensive assistance to the Board Secretariat team as well as rendering general administration support and performing project-specific tasks within the Department.

Key Responsibilities:

Board Secretariat Support:

  • Assist in managing and coordinating full spectrum of administrative functions relating to Board-related activities and logistical arrangements.
  • Assist in organising Board-related activities and upkeeping of secretariat records/inventories.

Administrative Support:

  • Provide general administrative support to the Corporate Administration (Board Secretariat, Strategy and Sustainability functions) and Risk Management Department.
  • Support Risk Management Department in areas of preparation for reports and documentations.
  • Support project/event general administrative tasks.
  • Organise department meetings, produce accurate minutes and ensure their timely distribution to relevant stakeholders.
  • Handles all department procurement and finance matters.
  • Effectively liaise with departments, vendors and stakeholders to ensure timely completion of any administrative matters and follow-up actions.
  • Support other ad hoc administrative duties as required.

Qualifications

  • Diploma or equivalent in a related discipline with at least 1 to 2 years of relevant work experience.
  • Strong organisational and time management skills, with the ability to prioritise multiple tasks concurrently and prioritise effectively.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with senior executives and stakeholders.
  • Proficiency in using office productivity software and embracing new tools and technologies to stay relevant and add value in the digital age.
  • Attention to detail and accuracy in data management and documentation.
  • Demonstrates professional ethics and the ability to maintain strict confidentiality when handling sensitive information.
