Job Description
Operations Coordination
• Responsible for the administrative processes and arrangements for academic visitors
• Provide full secretariat support to the Head of Department
• Support day-to-day departmental operations which includes logistical support, access control
• Coordinate departmental activities which includes official meetings, seminars
• Maintain the Department’s e-files and databases ensuring accuracy of records, coordination logs and documentation
• Responsible for administering the Department Secretary’s email account to ensure information, enquires and requests are promptly disseminated and replied to.
Administrative Support
• Support coordination of departmental activities (e.g. workshops, visits) which includes liaising with the undergraduate, post graduate and finance team on co-ordination matters
• Maintain directories, mailing lists and communication records
• Support onboarding-related administrative tracking (e.g. access setup, documentation follow-up)
Other Duties
• Perform other related administrative duties within the Operations function as assigned
Job Requirements
• Diploma or general degree, with 3–5 years of relevant administrative experience
• Good communication skills with strong integrity in handling confidential matters
• Experience in coordination/operations roles preferred
• Able to multi-task and work with people at different levels
• Meticulous, independent and strong follow-up
• Proficient in Microsoft Office and common administrative systems
