Job Description
1. Faculty Recruitment, Appointment/Re-appointments/Promotions
- Manage the end-to-end process of faculty recruitment, including advertisement, candidate coordination, and appointment formalities
- Handle faculty re-appointments, contract renewals, and related administrative processes in compliance with university policies
2. Annual Review Exercise for Faculty/Adjunct Staff
- Coordinate the annual performance review exercise for faculty and adjunct staff, ensuring timely submission and accurate documentation
- Assist in gathering and compiling necessary data for evaluations, promotions, and contract renewals
3. Curriculum and Teaching Matters – Annual Teaching Allocation of Courses to Faculty Members
- Plan and manage the annual teaching allocations, ensuring equitable distribution of courses among faculty members
- Liaise with faculty and department heads to address teaching load concerns and make necessary adjustments
- CMS System – Manage the submission of new course proposals
- Compilation of Course Outlines – Consolidate and maintain course outlines for all programmes
- CTC System – Update and maintain course information in the CTC System
- Gather and compile course outlines from faculty for submission to programme offices
- Prepare and distribute the semester class schedule to faculty members
4. Financial Budgeting
- Support financial planning and budget management, ensuring efficient allocation of resources within the department
5. PhD Student Admissions
- Oversee the PhD student admission process with the PhD Coordinator and PhD Office, including application management, candidate shortlisting, and coordination of interviews
6. Faculty Teaching Evaluations
- Validate Data Preparation for Student Feedback System per semester
- Manage faculty teaching evaluations, ensuring timely distribution and collection of feedback
- Compile and analyse evaluation results to support faculty development and performance assessments
7. Examination Matters
- Coordinate examination-related processes, including scheduling, invigilation arrangements, and maintaining information in the CMIS System in coordination with the Undergraduate Studies Office
8. Maintain Department Secretary and Recruitment Emails
- Monitor and manage the department’s secretary and recruitment email accounts
9. Other Assigned Duties
- Perform additional tasks as assigned by the Head of Department or management to support departmental operations
Qualifications
- A recognised University degree
- At least 5 years of relevant work experience with significant exposure in a similar capacity, preferably in tertiary institutions

- Aptitude to handle sensitive and confidential matters of the Department
- IT Savvy, proficient in Microsoft Office suite of software (including Excel, PowerPoint, Outlook and Word Document)
