Job Description
To support senior staff in the administration of research studies and clinical trials at the Memory Aging and Cognition Centre (MACC), an established clinical and translational research centre based at NUHS and funded by the NMRC.
Main Duties and Responsibilities
A. Grant administration and finance related matters:
- Administer and manage grant accounts, including:
- Performing general financial accounting operations for research accounts.
- Maintaining accurate records of all transactions for each research account.
- Ensuring all expenses comply with grantor and institutional policies.
- Submitting cash flow projections, quarterly claims, and annual reports on time.
- Assist the Principal Investigator in grant applications, including budgeting and compiling documents for submission.
- Support preparation of annual progress reports and grant variation requests as required.
- Liaise with the NUHS Research Office to respond to grant-related queries from funding agencies.
B. HR related matters:
- Manage the Centre’s recruitment and onboarding processes, including job postings, interview arrangements, administrative onboarding tasks, and the preparation of workstations, laptops, and office access.
- Ensure recruitment activities align with budget availability and grant policies.
- Collaborate with reporting managers on staff performance reviews and contract renewals.
- Oversee the employee lifecycle, from hiring to offboarding.
- Coordinate staff training required by the institution (e.g., BCLS, GCP, etc.).
- Work with Academic Affairs (AA) on employee relations matters as needed.
Main Duties and Responsibilities
C. General admin support for MACC operation:
- Oversee research space planning and management, including workstations, wet lab benches, assessment rooms, and meeting rooms.
- Serve as the point of contact for research team issues.
- Ensure sufficient office and research supplies to support ongoing projects.
- Manage procurement of office supplies and services, ensuring compliance with institutional directives. This includes obtaining quotations, raising purchase orders, coordinating with vendors, and processing invoices.
- Maintain MACC assets/inventories and support asset verification exercises.
D. Other duties as assigned by senior staff/MACC Director.
- Perform additional tasks as assigned by senior staff or the MACC Director, including secretariat duties (e.g., assisting with approvals, endorsements, scheduling meetings, office moves, and other ad hoc requests).
Qualifications
- Bachelor’s degree required.
- Proficiency in MS Office applications (Word, Excel, PowerPoint).
- Knowledge of grant administration and finance is an advantage.
- Experience in HR is preferred but not required.
- Meticulous, with excellent organizational and coordination skills.
- Strong communication and interpersonal skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Having worked in a Research or Healthcare setting is an advantage.
