Job Description

Events Planning and Execution - To support the planning and execution of TRP events such as recruitment visits, seminars, workshops and conferences in order to deliver high-quality TRP programmes to advance TRP’s academic and research objectives as well as strengthening stakeholder engagements: 


1.    Plan, coordinate, and deliver TRP events (recruitment visits, seminars, workshops, conferences) end-to-end to advance TRP’s academic and research objectives and strengthen stakeholder engagement.
2.    Serve as primary liaison with candidates, speakers, Programme Chairs/Search Committees, and key stakeholders; manage schedules, briefing materials, and communications.
3.    Oversee logistics, including venue bookings, AV setup, travel and accommodation support, vendor sourcing (catering/printing), procurement, and budget tracking.
4.    Develop and disseminate event communications and collateral (EDMs, webpages, materials).
5.    Manage on-site operations and issue resolution; provide timely, responsive support to participants and stakeholders.

 

Support for TRP Budgets:

  • Administer end-to-end payment processing, ensuring accuracy, timeliness, and compliance with institutional policies and budget controls.
  • Prepare and submit invoices and grant claim forms on behalf of PIs, coordinating required documentation and approvals.
  • Compile and maintain budget utilisation tables for research grant progress reports, tracking commitments, expenditures, and variances.
  • Lead procurement activities for TRP events (e.g., sourcing, quotations, POs, vendor onboarding), ensuring value-for-money and proper records.
  • Manage fixed asset number requests and related asset records, coordinating tagging, tracking, and audit readiness.

 

Digital Communications and Content Marketing (TRP) - Preparation of newsletters and management of websites as well as official social media platforms to promote the research activities of respective TRPs:

  • Plan, produce, and distribute newsletters to showcase TRP research activities, ensuring editorial calendars, quality assurance, and timely delivery.
  • Manage and update TRP websites (content, structure, and assets) to keep information current, accessible, and aligned with NUS branding and governance.
  • Operate official TRP social media platforms end-to-end (content creation, scheduling, community management), amplifying research outputs, events, and achievements.
  • Coordinate inputs from faculty, researchers, and administrators; translate technical content into audience-appropriate narratives and visuals.

Qualifications

  • Bachelor’s degree
  • At least 5 years working experience in event planning, coordination and/or project mananagement.
  • Highly organized individual and adaptable to a dynamic work environment.
  • Exhibits initiative and the ability to work under pressure/deadlines.
  • Excellent command of English, both written and spoken.
  • Strong interpersonal skills and  the ability to work effectively with a diverse group of internal and external colleagues and stakeholders.
  • Flexible hours dictated by events/project needs.
  • Proactive approach to problem solving and ability to manage multiple events/work demands simultaneously.
  • Proficient in Microsoft Word, Excel and Powerpoint applications and online meeting tools.
  • Candidates with experience in event management and procurement/finance in tertiary institutions are preferred.
  • Experience in management of website creation and content (eg Wordpress)  and official social media platforms will be advantageous.
