Job Description
The Division of Graduate Studies (DGS) within NUS Medicine is looking for a dedicated and detail-oriented Senior Executive candidate to join our team as Senior Executive, Graduate Studies on a 2-year contract. This vital position supports the academic and administrative needs of over 500 graduate students enrolled across MSc (Research) and PhD programmes. The successful candidate will play a central role in managing candidature operations, ensuring efficient coordination of examinations, admissions, student engagement, and data reporting to promote a seamless and enriching graduate experience.
Key Responsibilities:
- PhD Qualifying Examinations (PQE) and Thesis Submissions:
- Manage comprehensive processes including scheduling, eligibility verification, documentation preparation, and communication follow-ups for PQE and thesis submissions affecting 200 to 250 students per academic year.
- Serve as the primary contact for student enquiries right from examination stages to degree conferment, ensuring timely and accurate responses.
- Admissions Management:
- Coordinate the application and admission processing for MSc and PhD programmes during biannual intakes, averaging 300 applications per cycle.
- Maintain thorough and accurate records, ensure adherence to admissions timelines, and efficiently handle admission-related enquiries to support candidate experience.
- Student Engagement and Programme Administration:
- Coordinate the International Buddy Programme biannually, including aligning buddy pairings, organising Meet & Chat sessions, managing communications, and processing reimbursements for approximately 60 participating students.
- Administer research scholar leave documentation and processing of Leave of Absence applications to maintain comprehensive student records.
- Manage the IRIS@NUS internship programme by ensuring timely disbursement of allowances and serving as the point of contact for intern support during placements lasting 2 to 3 months.
- Data Management and Reporting:
- Consolidate, validate, and maintain high-quality data sets for admission and exit surveys involving 120 to 140 submissions annually.
- Generate accurate reports to inform programme evaluations, contribute to institutional research, and support decision-making processes.
- Events and Web Content Administration:
- Coordinate key division-wide events such as student orientations and commencement ceremonies, ensuring smooth execution and positive experiences.
- Regularly update and maintain programme websites to provide current and relevant information for students, faculty, and stakeholders.
This role requires a proactive approach, excellent organizational ability, and the capacity to deliver results in a fast-paced, multicultural academic environment. The Seniro Executive will collaborate closely with academic staff, students, and administrative teams to support the mission of providing world-class graduate education at NUS Medicine.
Qualifications
- Bachelor's degree in any discipline from a recognised institution.
- Prior experience in the education sector, particularly in graduate programme administration, will be highly advantageous.
- A strong passion for enhancing higher education delivery and commitment to supporting student success in a diverse, multicultural context.
- Exceptional interpersonal skills with the ability to effectively collaborate across teams and maintain positive relations with internal and external stakeholders.
- Highly organised with proven ability to manage multiple concurrent projects, demonstrating keen attention to detail and strong problem-solving skills.
- Excellent command of the English language, both written and spoken, enabling clear communication in diverse settings.
- Proficiency in data management and basic reporting is preferred, with the ability to work comfortably with data sets and digital information systems.
- Demonstrated initiative and a proactive mindset to anticipate operational needs and implement effective solutions.
