Job Description

We are seeking a proactive and detail-oriented Senior Executive to support the end-to-end administration of the Bachelor of Science (Nursing) programme. This role is integral to ensuring smooth programme operations across timetabling, student administration, assessments support, audits coordination, and stakeholder engagement—contributing directly to a strong student experience and the School’s academic quality standards.

 

Key Responsibilities

 

You will support the undergraduate programme lifecycle, including (but not limited to):

  • Timetabling & module administration (Year 1 & 2 focus): Coordinate class timetables, groupings, room/resource allocation, and module pre-allocation; maintain accuracy in timetabling systems and respond to timetable changes/requests.
  • Programme operations support: Liaise with Programme Directors/Course Leads and students; manage student cases (e.g., waivers, adjustments, swaps) in line with policy; coordinate with host departments and maintain student status/attendance records.
  • Assessments & audits support: Assist with marks processing checks, prepare documents for pre-Board of Examiners (BOE) audits, and support academic integrity and compliance processes.
  • Surveys, feedback, alumni engagement: Administer Exit/Employer surveys, coordinate end-of-semester feedback reports, and support alumni communications and lifelong learning engagement.
  • Advanced Placement Credit (APC) administration: Triage APC queries, verify documents, evaluate requests against approved mappings, and update/track cases to resolution.
  • Inter-professional workshops & e-learning platforms: Support enrolment/grouping and scheduling across multiple faculties; coordinate make-up sessions and provide logistical/technical support for e-learning platforms and vendors.
  • Process improvement & events support: Develop/document SOPs aligned to NUS policies; provide secretariat support for meetings and assist with education/department events (e.g., Commencement).

Qualifications

  • Educational Background: A bachelor's degree is essential, preferably in business administration or a related discipline. Applicants with degrees in other fields may be considered, provided they possess relevant experience.
  • Professional Experience: A solid track record of 2 to 5 years in undergraduate programme administration or higher education operations is required, ideally within a university setting.
  • Technical Skills: Demonstrated proficiency in data management and reporting with a keen eye for accuracy and detail is crucial. Familiarity with student information systems such as NUS EduRec or equivalent platforms is considered advantageous.
  • Communication and Organisational Competence: Strong interpersonal skills, with the ability to communicate effectively across various levels of stakeholders including academic staff, students, and external parties. Exceptional organisational skills and the ability to prioritise and handle multiple tasks simultaneously.
  • Personal Attributes: The role requires a highly proactive, collaborative, and professional individual committed to delivering excellence while fostering inclusive and positive working relationships.
  • Computer Literacy: Proficiency in Microsoft Office applications including Word, Excel, and PowerPoint is essential. Comfort with adopting and utilising new technologies and systems effectively.
