Job Description

We are seeking a proactive and detail-oriented Senior Executive  to manage the end-to-end administration of 2–3 MSc programmes (total portfolio of about 100 students) across the full student lifecycle. You will be a key business partner to programme leadership and work closely with internal stakeholders to deliver a seamless student experience, ensure operational excellence, and support continuous improvements. 

 

Key Responsibilities

Programme Administration (End-to-end)

  • Manage comprehensive programme operations for 2–3 MSc programmes, including admissions, enrolment, registration, examinations, graduation checks, and degree conferment matters.
  • Coordinate academic consultations and administrative support for capstone projects.
  • Maintain accurate programme records and ensure timely processing of student-related transactions.

Admissions & Recruitment Support

  • Administer admissions processes and respond promptly to application-related enquiries.
  • Support recruitment activities and outreach initiatives in collaboration with the engagement and outreach team.
  • Track intake and enrolment numbers, including early offers, to help meet programme targets.

Student Candidature & Student Support

  • Provide timely and professional support for student enquiries throughout their candidature.
  • Manage course registrations, exam processing (with strong emphasis on accuracy), exam logistics, student feedback and follow-ups.

Business Partnering, Process Improvements & Continuity Planning

  • Serve as a key partner to programme directors and faculty on operational matters.
  • Support business continuity planning (BCP) and implement process improvements to enhance administrative efficiency.
  • Contribute to development and upkeep of SOPs for programme management.

Budget & Finance Administration

  • Support programme budget management and follow up on tuition/acceptance fee payments.
  • Administer engagement letters for lecturers/speakers (e.g., for payment via OPWN or external payments) and follow up on payments in a timely manner.

Events & Web Management

  • Organise programme events such as orientation sessions, commencement dinners, and participation in education fairs.
  • Ensure programme websites and related communications are accurate and kept up to date.

Other Support

  • Provide other administrative support to DGS as required.

Qualifications

  • Bachelor’s Degree in any discipline (preferably in Sciences)
  • 1–2 years’ experience in an administrative role in the tertiary education sector is an advantage
  • Strong interpersonal and organisational skills; collaborative and team-oriented
  • Able to multi-task in a fast-paced environment with strong attention to detail
  • Passion and drive to support transformation in higher education delivery, especially for adult learners and international students
  • Fluent in written and spoken English
  • Strong analytical and problem-solving skills
  • Proficient in Microsoft Office
  • Ability to support programme budget administration
