Job Description
This person will be working at the NUS Centre for Biomedical Ethics on the CENTRES (Clinical Ethics Network + Research Ethics Support) project. CENTRES was established in 2009 and has been funded by the Ministry of Health since its founding. CENTRES is a networking and training platform to enhance capabilities of healthcare professionals and clinical ethics committees in Singapore.
We offer a range of educational programmes targeted at members of clinical ethics committees, and more broadly healthcare professionals. These programmes are delivered fully online, hybrid (online and in-person) and fully in-person. This person will report to Dr Sumytra Menon, CENTRES Co-Director, and work closely with CBmE’s Head of Administration, Ms Connie Wu.
The main purpose of the job is for the person to provide effective administrative support to enable the CENTRES team to carry out its educational programmes and build its networks. A sliver of the administrative work will be department related.
The position is for 2 years, with the possibility of renewal if performance is satisfactory.
Responsibilities
- Coordinates and manages the administration of our various programmatic activities. The detailed tasks include (not an exhaustive list):
- engaging effectively and sensitively with partners and stakeholders
- managing our learning management system and ensuring participant satisfaction
- proactively ensuring website content is updated
- managing activity registration
- providing onsite and/or online administrative support for our in-person, online and hybrid activities
- Maintains comprehensive and updated records of our programmatic activities including partner and participant details, teacher information, and feedback reports, and organizes it in a user-friendly and effective manner for stakeholders.
- Coordinates the collection, compilation, and analysis of training programme data and drafts statistical and narrative reports that are user-friendly and effective for stakeholders.
- Responsible for comprehensive and accurate quarterly financial and administrative reports right up to submission to the CENTRES Co-Director:
- Maintains accurate bookkeeping and records of financial accounts on a monthly basis, and assists with financial reconciliation.
- Processes expenditures, invoices and other financial transactions on a rolling basis.
- Understands the terms of the grant and alerts the CENTRES Co-Director if proposed expenditures are not concordant with those terms.
- Drafts and updates standard operating procedures to enable the smooth conduct of our programmes and the efficient management of our financial accounts.
- Creates the materials to promote programmatic activities in various media such as print and online.
- Ensures that our processes comply with NUS & MOH guidelines.
- Perform other related duties incidental to this job description.
Qualifications and Experience
- A degree in any discipline, with at least 3 years working experience.
- Candidates with no experience, or those with less than 3 years working experience, who are analytical thinkers, fast learners, detailed-oriented, and focused may be considered.
- Experience in budgeting and grant management principles preferred.
- Project management experience a plus.
