Provide support to the Professor and Principal Investigator (PI) of multi-country / multi-centre study in the overall administration and coordination of large research grants housed in the Signature Research Programme in Health Services and Systems Research. 

 

Duties & Responsibilities:

These will include finance, procurement, grants management, contracts, events, publicity, administrative matters related to staff recruitment and movement, and other ad-hoc activities.  

  • Provide administration support throughout the entire grant cycle from grant application, grant awarding, budget and expenses tracking, reporting of project status and project closure.
  • Manage procurement processes, including liaising with vendors for quotations, raising purchase requests in SAP Ariba, processing goods receipt, and ensuring timely payments.
  • Oversee expense claims and reimbursement processes using the Concur system, ensuring compliance with university policies and prompt resolution of discrepancies.
  • Support researchers to draft, review, negotiate and execute research agreements, working closely with researchers, collaborators and internal and external legal offices.
  • Assist with research staff recruitment and appointments, including onboarding and offboarding administrative tasks.
  • Maintain accurate records and filing systems for grants, agreements, manpower tracking, invoices, claims, and project documentation.
  • Assist with organizing meetings and coordinating events such as webinars, retreats and conferences related to the projects.
  • Assist the Principal Investigator in updating and maintaining their academic CV, ensuring it reflects current research outputs, grants, and academic activities

 

Perform other ad-hoc duties as assigned to support the research programme.

  • Bachelor’s Degree in Business Administration, Accounting, Economics, Finance, or  other related fields.
  • Minimum 3 to 6 years of relevant experience.
  • Possess initiative and positive attitude  with the ability to relate well with all levels of staff and students.
  • Mature, resourceful, detailed-oriented, self-driven and team-player.
  • Proficient in administrative skills and in Microsoft Office applications (Outlook, Word, Excel, Power-point)and Adobe Acrobat (PDF). Data literacy, knowledge of SAP, technology savvy will be advantageous.
  • Have good command of written and spoken English.
  • Energetic and self-motivated with excellent organizational and interpersonal skills, with the ability  to multi-task and exercise discretion with confidential information
