Job Purpose

The Specialist Associate (Operations and IT Support) shall play a crucial role in providing operational & administrative support to meet the company’s functional needs. This position is responsible for implementing policies and ensuring the smooth adoption and integration of solutions for the company’s stakeholders.

Job Description

  1. Assist with the School’s operating budget pertaining to Information Technology, Classroom Support Technology and Office Equipment effectively, allocating resources efficiently, and identifying cost-effective technology solutions.
  2. Work with NUS IT and Classroom Technical Support (CTS) Teams to identify innovative solutions for upgrading end-user technology and optimizing learning technology.
  3. Develop, enhance, and enforce standard operating procedures and guidelines for deployment and management processes to promote operational efficiency and consistency.
  4. Administer day-to-day operations, overseeing asset management, software license management, and equipment administration.
  5. Procure computing devices, accessories, software, audio-visual equipment, associated accessories, services and other office equipment necessary for business operations, ensuring adherence to quality standards, functionality requirements, and value for money.
  6. Monitor and maintain optimal stock levels of computing devices, accessories, software licenses and other office equipment. Anticipate demand, coordinate with vendors for timely replenishment, and ensure accuracy of the asset list in compliance with internal policies and procedures.
  7. Establish and maintain an effective business continuity plan, conduct regular assessments, and implement measures to ensure seamless operations during disruptions. 
  8. Supervise vendors to ensure they deliver the goods & services according to contractual service standards and coordinate with company’s internal support service personnel to deliver the necessary services. 
  9. Ability to respond to requests and feedback from users in a timely manner to provide advices and solutions, and to perform any other administrative duties in support of company’s events and activities.
     

Qualifications

  1. Polytechnic Diploma in Information Technology, Computer Science, Engineering or its equivalent. 
  2. At least 3 years of relevant work experience in operations and administration, including planning, budgeting and procurement. 
  3. Demonstrated ability to collaborate effectively with cross-functional teams and stakeholders from diverse backgrounds, leveraging strong communication and interpersonal skills.
